Using the Xenon Integration in Engager
What is Xenon?
Xenon is a data-driven insights tool for accountants. It connects to your clients’ bookkeeping software (like Xero or QuickBooks) and analyses live data to:
- Track client health scores.
- Provide insights into workload and business performance.
- Help you price new work accurately using actual financial data, not just client estimates.
By integrating Xenon with Engager, you can streamline day-to-day management, monitor client health in one place, and make smarter, data-backed pricing decisions.
Initial Xenon Setup in Engager
Before you can use Xenon data at the client level, you’ll need to connect your Xenon account to Engager.
- In Engager, go to Settings → Integrations → Xenon.
- When prompted, enter your Xenon API key / Authentication Key
- You can find this in your Xenon Connect account under Settings → API key (right hand side, looks like a series of random numbers ).

- Copy and paste this key into Engager - Press Authenticate
- Save your changes.
Engager is now connected to Xenon and ready to start pulling in client data.

Using Xenon Data in Jobs and Kanban Boards
Once linked, Xenon insights are available in your Jobs pages and Job cards

Jobs filters
- In a client’s job list, you’ll see a new filter: Xenon Health Score.
- You can drag and reorder filters, e.g. prioritise jobs by health score instead of deadline - this is great because instead of just working towards deadlines, you can tackle the bigger work earlier, based on any potential nasty surprises within the client’s account. Imagine uncovering a chaotic VAT return with just a couple of days to go - no thank you!
- In a client’s job list, you’ll see a new filter: Xenon Health Score.
Please note it’s the 6 DOTS that you press and hold to re-order the priorities of how you want your job cards displayed.

Kanban view
- In the Kanban card layout, you’ll see a new Xenon Data checkbox.
- The featured item on the card is always the health score.
- You can also choose which Xenon metric to display per client on the job card (e.g. issues, transactions, turnover).

- Clicking into a Kanban card shows a new Xenon Connect insights panel.
By default, this shows:
- Health score
- Number of issues (all time)
- Financial risk of issues

A fourth, customisable insight can be set per service (e.g. last quarter’s issues, turnover, transactions). In the example below, we’d set Total Issues to be the previous quarter.

Tailoring what Xenon Insight you want to see per job, at a GLOBAL (default) level
- In Settings → Jobs - Services, you can choose which Xenon metric to display across all clients with that service.
- For example:

Bookkeeping monthly → show last month’s transactions.

Bookkeeping weekly → show current month’s turnover.

Bookkeeping monthly → show last month’s transactions.
This flexibility lets you tailor Xenon insights for both global service defaults and client-by-client variations.
Setting up your Xenon Settings at a Client by Client Level

11Go to a client record in Engager
- Open the Service Details page → Step 5.
- You’ll see the default health score.
- This can be left as the global setting or customised for that client.
- You’ll see the default health score.
Pricing using Xenon Data
- To pull Xenon data into pricing, go to Settings → Custom Fields.
- Scroll to the relevant field, e.g. Estimated Annual Turnover - EDIT
- From the dropdown, select the Xenon data feed you want (e.g. Turnover – Rolling 12 Months).
- Click Save.
When you return to the client record, Engager will now display the Xenon-powered value (e.g. annual turnover) automatically in the relevant field.
Please note
It’s quite subtle, so look for the blue Xenon Icon to see the data insight
In the example below, we learn their turnover is £11,474 so we should then adjust the Annual Revenue figure to match the Xenon insight.
It won’t do it automatically for you, it will give you the insight, you then adjust.
FAQs
Q: How long does it take for Xenon data to show in Engager?
- After first linking a client in Xenon, it may take 6–12 hours for health scores to appear while Xenon processes the data.
- Ongoing updates from Xero/QuickBooks → Xenon → Engager take around 4 hours to flow through.
Q: Can I override Xenon data?
Yes. You can still manually edit fields in Engager if you need to tailor figures for specific clients.
