Key Points
- Dashboard & Job Management: To display a service on a dashboard widget, it must be in a service group. The 'Due Period' view in 'My Work' is recommended for managing jobs by organising them into 'overdue', 'due today', 'due this week', and 'due next week'. To consolidate different payroll job types (e.g., weekly, monthly), the 'group by' setting on the jobs page should be adjusted.
- Integrations: The FreeAgent integration is more sophisticated than Xero and QuickBooks due to its superior API. To link with FreeAgent, users must authorise the connection, enter their firm's subdomain, and manually link each client. For combined 'Annual Accounts & Corporation Tax' jobs using TaxCalc, the TaxCalc work item should check for the CT600 filing, as the job already checks Companies House for the accounts. The Xero integration costs a flat £4 per month, a fee passed on from Xero.
- Client Communication & Proposals: To resend a client portal link, use the
{portal_address}placeholder in an email. A new 'Finalise and copy link' option for proposals allows sending signing links via WhatsApp or other services, which open in a web browser. The search function in the communication section primarily searches the 'subject' line. You can check when a client has viewed a proposal via the 'last viewed' status. - Sales & Marketing: Informative emails, like tax return filing confirmations, can be enhanced with a sales pitch for additional services (e.g., tax planning) to generate new revenue. Engager's built-in email tools can be used for marketing campaigns to filtered client lists.
- Internal & Client Tasks: Internal, recurring practice tasks (e.g., renewing PI insurance) can be managed by creating repeating tasks not linked to a specific client. To find a completed task for a client, go to the client's record, then 'Jobs', and use the filter for 'completed custom tasks'.
- Subscription & Trial Management: Users whose trial is ending can subscribe to the lowest tier (£9 for five clients) to retain full access for setup purposes before migrating all clients.
- Future Developments: A full sales process feature, including a 'Deals Board' (sales Kanban board), is in development and expected this year. The team is also testing new technology, including a dark mode, in the client portal app, which could lead to a full accountant's app.
- HMRC & TaxCalc: Delays in 648 authorisations appearing on the HMRC portal are an HMRC issue, not an Engager one. TaxCalc's "What-If Planner" is highly recommended for projecting tax bills for clients with variable income (like directors), creating a proactive, billable service.
- Platform Features & Support: Engager does not offer white-labelling as research shows clients trust a portal more when the security provider is known. To notify multiple staff of client uploads, add them under Settings > Notifications.
- Events & Engagement: A series of "Fusion on the road" events, joint with TaxCalc, will be held across the UK. The Q&A function should be used during sessions to ensure questions are answered.
