This week's Weekly Live session opened with a run-through of four new Engager releases before moving into audience questions covering services, letters of engagement, archiving and TaxCalc integration. The session closed with an announcement, based on a community poll, that Weekly Live will move from weekly evenings to 1:00pm on Wednesdays going forward.

Fantastic. Okay guys, as per usual, welcome to Engager Live, your weekly show to talk all things Engager and whatever else you want to bring to the forum of Engager Live to speak about. Throughout the evening, it's your chance to ask any questions that you've got. If you want to ask a question, can I ask that you do not put it, I repeat, do not put it in the chat cuz that can get quite busy. Please put it into the Q&A area. Okay, I'm going to jump into engage it because we've got 1 2 3 4 new releases that came out this morning that I want to show you all. I did show all of these in my July update that I did yesterday in the webinar. So for those that attended that apologies for repeating myself. Um but I'll show you it anyway. And then we will jump into all of your questions. So while I'm going through these five updates, if you want to start sticking your questions into the Q&A box. So we've got some lined up ready to go. That would be fantastic. Um and if you're new here and you've not joined us before, there is no such thing as a silly question. There's many a time a new person has asked a question that you'd think is you know, the new person's thought, "Oh, it's a bit basic, but I'll ask anyway." And the more experienced people that have been here for years often comment going, "I didn't know it could do that." Or I'd forgotten it could do that. So there is no silly questions. Um we're that is what we are here for. Um so I will jump into engage it and we will crack on with the updates while people start putting their questions into the Q&A box.
Okay, so our first update is a new and this is just the first part of this. So we're surfacing some information. We're then listen we're now asking for feedback on what you want to do with this information so we can then build it out further. And that is for a very long time you've been able to mark on a checklist whether a fee review is required for a service. But then it doesn't really surface anywhere. So now it does. We've now got our fee review widget. Okay, so this is saying all the six fee reviews required. If I click on that, so we've got these six services that have all had checklist completed saying there's a fee review required. So we've now surfaced the information. If you click the name, it'll take you to that client. So, but this is telling you which service it is and which checklist it's on. So, that's the first phase. We're surfacing the information. Now, what we want from you guys as our users is to tell us what would you like this to do? Do you want this to go into the specific checklist? Do you want us to build the ability for you to go uh actioned or dismissed? I So, it doesn't then keep showing up, but you it acknowledges you've looked at it. Where Where do we take this? You tell us. So, that's the first uh release that came out this morning. Uh So, this all these releases are in your product and have been since this morning. Um now when you do I'm not I can't really show you this easily, but now when you do a bulk update uh to enable a service such as SA100s, SA800s, anything that's built in and you can tell if a service has been built in when you go to settings and services, if it's listed here as type and it's called built-in, that means we built it. So, if it's built-in and you turn it on, the system will work out the next due date, whereas beforehand you then had to go in and add the due date for the next service. So, we're we're taking that little job away from you now. Um another one that's been rather popular is if I go to a client and go to proposals, I'm going to generate my letter of engagement.
Okay. So, historically, this is how you've been reviewing your letter engagement. Now, however, there's a new button, so if you want to put this into a separate tab, you can. And because it's now seen as a PDF on here, you can zoom in as far as you like, or as out far out as you like. So, it's easier to read through and see your proposal. Uh and this works for proposals, letter of engagement, and uh letter of disengagement.
So, that's that one. Um And the final one that's been released is uh another request from our users. So, if you're going to jobs, we've got this reports bit and jobs completed in a given period. Originally, it just said who it was completed by, but now you can filter by manager as well. So, maybe a manager just wants to have a look at the jobs that have been completed by their team, they can now do that. So, that is all there and up and running for you. As I say, this is all live. It has been since early this morning. Um so, they are all live and you can go and play with those in your own Enager. Right. I've only got three questions in so far, guys. So, come on. Let's get some questions into there, please. Um
Do do do. I'm just checking the chat. Jennifer says, "Last time it was cloudy in Cornwall, but we are cloud free today." Fantastic. Uh Shelly, evening everyone. Evening, Shelly. Jennifer says, "That's so much easier to see." I assume you're talking about the proposal. Yep. Um and Chris White says, "I like the open tab bit." So, yeah. Yeah, that That was a It was a user's request. Um so, that I mean, it got quite highly voted, actually. So, that's why we got that built. So, uh Kirsty, question. "Doing a catch-up of two tax returns, check the help and included it in words in the scope. I made the total as the total for two. How could I have got this to show two self-assessment tax returns? You couldn't, Kirsty, because we can only show a service, one service. So, um I would have done what you've done is I've I would have um either put the price for two tax returns, or I would have put the price per tax return and then added a line to my letter of engagement saying, "Please note, this is per tax return." But, clients don't read these things. So, I think what you've done by doubling the price and putting it in there on the letter of engagement makes complete sense.
Um Jane, when we create custom fields, can we do it so that we can just have it come on limited companies? Not at the moment, but that's on the ideas list. It's something that we've discussed recently. Um so, yeah, we are aware of that one, and that is the plan is to make custom fields applicable to certain to whichever client types you want, a bit like other fields that we've built in automatically. But, it's not there just yet.
Chris, will the fee review eventually stop including archived clients? Feed it back, Chris. That's what That exactly is the feedback we're looking for. We've just gone, "Right, show us Here's a widget showing you all the fee reviews that needed." So, if you don't want it to include archived, which makes complete sense, um then let us know. Put that onto the Feed that back to us. Uh put it on a comment on the jobs card that's in Suralink, and and that way the team will know. And I'll also be passing all of this back on as well. So, yeah, that's not an issue.
Brilliant. And we're out of questions. And it's only 10 minutes in, guys. Come on. What you stuck on? What do you need some help with? Is everybody on board with my theory at the moment that there's potentially 19 and a half million pounds worth of revenue opportunity out there in the form of the 423,000 taxpayers that didn't file Q1 MTD it returns? All right, that's that's a slice of pie that I I'd like a slice of that pie, that is for sure. Um
Yeah, what what is everyone working on?
And Jane says, "Yep, agree with your sums with the MTD." Fantastic. I think there's been too much negativity in our industry about MTD it. It's a huge opportunity of growth for us. And even if you don't look at the money side of things, if you look at clients that are annual clients, if they've now become five times a year clients with, you know, four quarterly returns and a year end, I think that's a huge opportunity to cross-sell, upsell, or just have reinforced touchpoints with the client to make sure that you're you know, they're not going anywhere.
Chris says, "Only if clients open their eyes and accept what has happened." I I agree. Um Eleanor says, "Yes, I agree with your pie theory." I mean, any pie any pie analogies a good analogy, isn't it? Shelly said, "I saw that. Not that surprising, but hopefully some will come our way." I I I think fair play to HMRC. I think they did a very good job to get 50% of the cohort in the first wave. I think they I think that's exceptional. Um
Cheryl says, "Apparently, only people not signed up for MTD who are due to submit are being auto-enrolled by HMRC this year." Uh they are this year, but we don't know what they're going to do next year. HMRC themselves have said they don't They haven't decided if there's going to be auto-enrollment next year or not. [snorts] Um I think there will be. Um and I spoke to Craig Ogilvie and Sam Wood and said to them like surely it makes sense and they would both agree, "Yeah, it makes complete sense." Whether it happens or not, different matter. [snorts] Um So, yeah. Uh right. Brilliant. Now, we've got some questions, guys. So, Umesh, how does Engage it update when accounts have been filed in TaxCalc? Uh so, basically, when accounts have been filed in TaxCalc, we don't update We don't change the We don't complete the job because we understand there might be more phases after the job. Um but what we do do is we change the status on the job. Da da da. So, if I go to monthly accounts, Nope. Annual accounts. So, if this job had been filed in uh TaxCalc, this would automatically change the status to filed. Now, we won't change the phases. We don't complete the job because we understand there might be a load of jobs after that uh that you don't So, we don't want to shut the job down. Uh but we update the status to filed and when we press complete the job here, we check with with TaxCalc that it was filed successfully and if it was, then we let you complete the job.
Hopefully, that answers your question, Umesh. Shelly, when creating a one-off service, how can I charge the costings to one-off instead of monthly, quarterly, etc. as want to add to the proposal? Cool. So, all you do Shelly is when you're in the client
I go into my ABC Limited here. Service and pricing. I'm going to do the annual self-assessment return, okay? And I'm going to charge 100 uh 1,000 lbs. Then what I do is I go to service and detail. Mark that as a one-off job. And press save.
And then when I go to do my letters of engagement
I create new one.
I then view this.
You'll see I've got jobs that are monthly, jobs that are going to be annual, and um my self-assessment is now under one-off costs. Uh so, yeah. So, basically you go to s- Mhm.
Service and pricing, turn service on, put in the price. Go to the service detail and change the frequency to one-off job and press save. And then generate your letter of engagement. Hopefully that helps, Shelly.

How do I comment that changed for archives? On Sleep Plan. Uh so, if you go to the job on s- uh the idea on Sleep Plan, which I think is under testing at the moment. I need to update it to live. You can comment on that card, I think. Um if not, send in an email to uh contact@engage.app saying feedback and we'll get that passed on to Ash and the product team.
Uh Kirsty, former requests, do you have to delete it if you or can you just mark it as don't care anymore? No, you'd need to delete it if it's not been completed um to get it off the widgets.
Because if then the client says, "Oh, you never sent me the form." you know you have because it's in the communication log as sent to the client. So, you've still got your audit log that you did send it out.
Kirsty, uh I did initial letter engagement for a look around and made it a one-off. Once it's completed, it still appeared on the list of services. It doesn't disappear. Would I need to turn it off? I then raised a new letter of engagement for tax returns with new contract contract date. Uh yes, so you've done the service, turn it off. Um because of anything that's turned on will always go into the letter of engagement.
Um when a client leaves and you archive his account, do do you have to turn off his active services before archiving? No. Uh so, the the jobs board doesn't show anything of archived clients or prospect clients. It just shows active clients' jobs. So, you don't need to turn all the services off if you don't want to, Miriam.
Um if a client has been archived, can you give access to his new accountants to access the professional clearance folder you you created on his client portal? Absolutely, yep. So, clients and con- any clients that are archived, their contacts can still access the information. What they can't do is they can't upload uh to you and it they can only access and download information. Um but yeah, you could add as you can add more the accountant as a contact. Um Lots of us talk about it and I try it every time we lose a client. Not one client Not one accountant's gone, "Okay, I'll I'll export that information. Thank you very much, Johan." They always come back and go, "Can you just please email it to me?" At which point I CC the client in and go, "Please note that I've been asked to CC send you all this information uh via email after we have tried to send it to you given you access to it to securely to download in a secure manner following GDPR best practice." Just a bit of salt in the wound uh for the new accountant and makes the client just go, "Hmm, maybe I ought to do something about that." Um so yeah.
Uh Miriam says, "Yep, same here. They never want to use the portal." Brian, as I say, Miriam, this is your opportunity to show how like to just plant some concern with the with the client that's leaving you go to this new accountant go and go to go "It's not a very good start to a relationship when you're not following standard security and GDPR processes, is it?"
Uh Jennifer says, "I hope one day to get someone who gives me a link to the portal. I'd definitely use it." Absolutely. Um I'm Yeah, I'm waiting for someone to give me a link to the portal. Um but not It's not happened yet.

Fantastic. Okay, I am out of questions again, guys. So, feel free to ask away. Um while we wait for some more questions to come in, you will have seen we're doing a poll on the times of these sessions. So, basically we get 20 to 30 people each week to this, which is fantastic, but it's 20 to 30 people which we've been having for nearly two three years now. Um it's not the same people, obviously, or it's someone else the same people. Um but considering we support 2,200 firms
the growth of the weekly live hasn't grown with that. So, whilst it's great and it's really valuable to people that attend, not everyone's getting that value. Um so, we wanted to put it out to the community to see what they thought. At the moment, it is looking very strongly like we will be moving the times. So, I appreciate there's people on both sides of the fence here, but I need to work with the majority to make sure that this is worthwhile that worth the time that I'm putting into it. Um so, it looks like we're going to trial doing this at 1:00 on a Wednesday going forwards. I appreciate not everyone here is going to be thrilled about that, and I do apologize. Um but we do need to make sure that this is accessible to the mass numbers, not just a small subset of users. Um So, yeah, so we're going to be trialing 1:00 Wednesday going forwards. There is a slight benefit to that, and that is historically, if I've not been able to make an an evening, we've had to cancel because it wasn't fair to expect a team member of Engage or TaxCalc to surrender their evening to do this when I've I've done this off my own back as it were. So, we are the benefit of moving to the afternoon is on Wednesdays that I can't do, Andy T will be covering. Um so, he's really looking forward to covering these sessions as and when I'm not available. I will still be doing the vast majority. It will just be the odd ones that I won't be able to do. Um but yeah. So, I I'll be honest. My wife's quite looking forward to having me back on a Wednesday night for the first time in best part of 4 years. Um and Chris, I'm sure your wife will be ecstatic to get you back on a Wednesday night. Um Chris, blessing brought his wife to Was it To introduce me to his wife so he could introduce his wife to the guy he spends Wednesday nights with. Um yeah, we absolute I absolutely love doing these sessions so when I don't want to scrap them, but we do need to make sure they're available to the wider user base. And looking at the polls, 80% give or take a few percentage points are saying they want it in during the weekday during the daytime. Um and the vast majority of that 80% want it in the afternoon. So, we're going to try 1:00 on a Wednesday and see how we do. Um but yeah. Right, we've got another question in from Kirsty. Widgets, unsigned letter of engagement, free sent and not happening. Do I just have to delete or mark as declined? I would mark as declined, Kirsty, cuz you're tracking your sales. Um so yeah, I would mark as declined. Um So that you can see the history of that client that way.
Cuz you never know, they might come back to you. I mean, in my firm, we put on our letters of engagement that they're only valid for 30 days in case we do a few in case we do a general price increase or something. So, after 30 days we decline we mark them as declined anyway. Well, we don't we void them. We don't mark them as declined. We void them. Uh and then if the client finally comes back we can go, "Look, you've come back. The quote was only valid for 30 days. We'll rerun it for you. We'll send it out to you, but there may be a change because prices go up and stuff like that."
Um So, yeah. Hopefully that makes sense, Kirsty.
Do do do do do. Uh Kirsty says, "I really appreciate time and help you give us every week, but yes, given the numbers maybe once a month." Uh so, yeah. No. So, we're going to continue doing this weekly. It's just going to be 1:00 on Wednesday instead of monthly. We looked at monthly for the evening slot, and because people have not had it for most of the month, we don't think the attendance numbers are going to be fantastic. Um So, I mean, even with I mean, there's 22 of you here right now. Some of those are note takers, and yeah, we're five we're 25 minutes in and I'm filibustering to try and give you guys time to get think of some questions for me. So, we need we need the attendance so that the questions are coming in so everyone's getting value from this. Um so, we'll be doing it weekly still, but 1:00 on a Wednesday is the plan. Um
Kirsty says, "Honestly, I won't do weekly payroll anymore, and that was a long 4 years of a weekly Tuesday." Yeah, it's I I've no issue with giving up my Wednesdays, but unfortunately the numbers just the attendance isn't strong enough for us to be able to justify doing this anymore. Um but, we still want to do it at the same time. So, that's why we're going to move it to Wednesdays at 1:00 p.m. instead. That webinar is our webinar attendance is normally really good at 1:00 p.m. People are kind of either they've had their lunch or they're going on lunch and they want to watch the webinar during lunch. So, 1:00 p.m. seems to work as a good time. Um Cheryl says, "When will the time change take place?" Uh it will start next Wednesday, Cheryl. So, I'm going to update the Zoom invite on Monday. Um I'm just going to give it until the week end of the weekend for the poll to kind of conclude. I it's pretty definitive right now, but you never know. It might swing. It's only been live for 24 hours or so. So, we'll give it until Monday uh for the poll to conclude. If it stays how it is, which I think it will, uh then I'll update the Zoom calendar meetings to 1:00 p.m. on Wednesday, which means your calendars will all update automatically. Um and your reminders will automatically update as well from calendars. And the emails will automatically update as well to remind you it's in an hour's time type thing.

Kirsty, I know I should know this, but please remind me where that 30-day thing is on a proposal letter of engagement. I'm sure it's there, but might but might help of us. Uh so, it's lit- all I've done, Kirsty, is in settings in my um proposal No, no, not that one. Settings,
document templates. We go to prop-
All I've done is I've put in on my first page
It's as simple as that. Just I've updated my template to have this in there.
Um and that's all I've done. And then as we're going through template as we're going through our list of unsigned letters of engagement which which we do weekly, we go, "Oh, that was a month ago. Get rid. Oh, that was a month ago. Get rid. Oh, that was a month ago, but her dad's died or something like that. We'll leave it there this time." Um cuz again, it's discretionary. Your business, you do it how you like. You might want to give them 90 days, 60 days, 15 days. It's entirely up to you.
Um Miriam, I'm struggling to get an all jobs view as my saved view. Setting is being applied to all jobs searches I do. For example, when I search a job in a client account, it defaults to a saved view setting. What am I doing wrong? So, on jobs, you've got all work. And that also resets all the filters. So, you don't need to save a view for all your jobs. You just click on all work. Now, maybe you want all work for yourself and only just just see your own thing. So, what you could then do is go responsible staff. Let's go with the boss. And then I can save that as a view. I can call it all work for the boss. Save. And then I could go uh look forward 900 days. That's now gone up to 54 jobs. But if I now go back to here and go for all work for the boss, that takes me back down to 90 days, etc. Goes back to the defaults that I've set. Does that answer your question, Miriam.
Jane, is there a way we can get a report that shows us which clients are going to need to go into MTD from April 27 based on 25/26 tax returns? Uh there is in TaxCalc, if you're using TaxCalc as your uh tax return software, then there is a report in TaxCalc, yes. I don't have TaxCalc demo data in front of me to show you, but if you reach out to support@taxcalc.com, they will happily show you that report uh for you to be able to run it and see what it is uh see how many clients are going to be hit uh next year.
Yeah, good question, Jane. Paul, sorry I'm late. Have I missed any updates apart from your updates webinar? Uh no, Paul. Everything I showed yesterday in the updates webinar is what I showed this morning uh this evening, sorry. Uh the only other bit you've missed, Paul, is that we will be we're looking to move the evening sessions each week to 1:00 p.m. on a Wednesday. Um the explanation I've already given is basically the num- the number of firms we support is now 2,200, but the number of attendees to this session hasn't really changed or increased in 2 years. It's still between 25 and 40 people each week. Uh which is amazing, but at the same time, with the growth of Enage, it shows that new people aren't coming to this that really need it. Um so, we're going to move the sessions to 1:00 p.m. on Wednesday. Um we did the poll in the community to try and understand what people thought about 80% give or take a percentage point or two wanted it in the in the weekday and not at night. Um and of the 8% that wanted it in the weekday, a large majority wanted it in the afternoon. So, we're going to go 1:00 p.m. on a Wednesday going forwards. I'm still going to do the sessions. Um the benefit being though that if I can't make a session cuz I'm traveling, I'm in an event or something, Andy Tyrrell will be doing the session in my place. Um we've not thought it fair in the past to expect a employee of the organization to surrender their Wednesday nights to do these sessions. That's why they've always been subject to my availability. Um but yeah. So, that's all you've really missed, Paul.
Uh Jane says, "Thank you. I'll talk to TaxCalc." No problems. Yeah, they've definitely got a report cuz it was a report I ran for this year's batch which told me I had 35 inclu- in- involved. Next year, I think I've got a couple of hundred. I'm not looking forward to next year as well at all. Um but I will embrace it. The team will embrace it. We'll be ready for it. Um we will go from there.

Um whilst we're waiting for some more questions to come in, in for those that weren't on the webinar yesterday, I'll just go through some of the bigger projects that we're working on at the moment. So, we're doing a big project on AI uh and how we use it in the product and what our options are. Um what we don't want to be doing is doing it irresponsibly. So, I spoke to three accountants last week who were plugging in Xero and QuickBooks and other softwares through the connectors to Claude and to um Chat GPT and stuff. And it turned out they were plugging them into free versions. They hadn't No one told them from the software provider that was promoting the plugin that you need to make sure you're using a paid for version to keep it all secure. So, we want to make sure we're doing it all responsibly. Um so, we've got some lots of ideas with AI, lots of things we're looking at. Uh so, watch this space. We're doing a big project on time fees and billing. If this is something that you would find useful, go into the Facebook group and there is a post from Stewart, one of our developers. Um he has put a link to his diary. You can book in and feed back to him on what you need um time fees and billing to do to make it really valuable to you. Uh we're working on multi-office. So, if you're a limited company, but you've got say six offices across the country, you'll be able to have uh one login to Engage Up, but you'll be able to choose whether you want to look at the whole company or specific offices with specific staff in those offices and stuff. So, that's on its way. Uh we're doing a big project on deeper user permissions. So, this is where clients can users can see certain clients, where they can do certain things. Uh so, absolutely huge job underway at the moment on that. We are redesigning the look of Engage Up to make it cleaner and more modern. So, there's a whole new user interface, which is looking very good so far from what I've seen. Um I don't have dates for any of this. This is all just stuff that we're working on at the moment at various stages of initial concept, design, and building. And then testing and then release. So, the these are all in various stages. Most of them are at the to the initial concept and design stage at the moment. Um we've got the attached calendar gauge API getting finalized and uh fully functional. And then we've got the deals board 2.0 with the lead capture form and stuff as well coming out. So, absolutely loads going on at the moment.
Do do do do do. Uh right. Miriam, thanks for the clarification. How do you get the days forward in the filter? Missed it completely though I've used Engager for a while. So, Miriam, you get two choices. You can either have days forward or a date. Okay? So, if you go to settings and jobs general settings deadline filter. Do you want the number of days or a deadline before or equal to? So, it says fixed date. Personally, I prefer the number of days cuz it's constantly rolling 90 days that way. Um but that's it's up to you which one works best for you and then just press save.

Kirsty, if I sent the document to be signed to two people VAT return to see who could do it first, do I just delete the unsigned one? I'm blitzing my dashboard, can you tell? Uh yeah, so if you've already sent it for If you sent it twice, one person signed it off and the other person doesn't need to, just delete the signing request. That's absolutely fine.

Has anyone else found it eerily quiet for the last few days in their firms? [snorts] Like my number of emails, Slack messages, everything is rock bottom numbers right now. Like it's so so quiet. So quiet in fact that I've actually had time to paint my office in the last 2 days. Um as part of a re- bit of a refit I'm doing. Um it's seriously quiet at the moment.

If I edit and add info on a client in client engager, does that update in TaxCalc? It does, Paul, if you've linked the clients together. So what you need to do is you need to make sure that this logo is under the the client's name. If it's If it's there or not, so basically you click on person, go to general info, click on link with TaxCalc, and if it's new, you can search, um
etc. The other way you'll know So A, you'll know if it says linked. We don't link automatically for you. You need to go through and link each client manually just because we would never want to get the wrong John Smiths connected by mistake and filing the wrong tax returns to the wrong John Smith. That would be a disaster. Um but yeah, so it will say linked here. It'll also say launch tax calc here if they are linked. So, you need to link them all and then if you update a telephone number, a date of birth, a UTR number in one or the other, the other one gets updated.

But along with these big projects, we're still hoping to knock out a few Sleep Plan ideas every couple of weeks as well. Um so, I all four releases this week were requests from Sleep Plan. Um and all
Like, four out of five releases in July were all Sleep Plan ideas. So, we are working our way through the Sleep Plan list as quickly as we can whilst also doing all these other big projects as well.

On the same night to have a pretty much total eclipse followed by a meteor shower, they would be panicking right now. End of the world kind of stuff that is. Brilliant.
