Weekly Live Session - October 28, 2026
This Weekly Live session was hosted by Andy (Johan was away) and opened with a walkthrough of the newly launched Multi Office feature, before moving into a free-ranging Q&A covering Xenon health scores for pricing and work prioritisation, managing notification overload, recording ongoing changes to client risk assessments and onboarding notes, setting up power of attorney access, HMRC 64-8 agent authorisation, and upcoming improvements to email and AML functionality.
Key Takeaways
- Multi Office has launched: in Settings > Practice Details, firms can now create offices, assign staff and clients to them, and filter the client board and jobs board by office. It's aimed at firms with several physical offices under one limited company (not firms running separate limited companies or brands, which still need a separate Engager account each), and can also be used informally as a way to group staff into teams or pods for better filtering. Per-office user permissions are not yet built, only filtering.
- Connecting Xenon gives each job a health score based on the underlying bookkeeping. A job with messy or unreconciled data is flagged and pushed to the top of the jobs kanban as a priority, and the same health data can be used to sanity-check a client's declared turnover against dynamic pricing.
- To stop notification overwhelm, use "show group summary" to collapse notifications into manageable categories, then review Jobs > Notifications to make sure only the right team members — not necessarily the account owner — are subscribed to each notification type.
- "Ignore internal deadlines" doesn't currently have a reliable permanent on/off toggle. If it doesn't stick, save the filtered state as a private view instead so it can be reselected.
- Use comments rather than notes on a job card when information needs to carry forward: comments persist every time a recurring job rolls over, while notes are tied to that single instance of the job only.
- Seeing the same email appear more than once in a client's communications when colleagues are CC'd is expected system behaviour, since each CC'd mailbox logs its own copy, and isn't something that can currently be switched off. Shared-mailbox support and CC/BCC handling are being actively scoped by the team — get in touch with Cat Larkin via the Engager Facebook group to feed in requirements.
- There's no dedicated section yet for tracking ongoing changes to a client's circumstances (for example, a growing property portfolio for risk assessment purposes) or for capturing detailed onboarding call notes. In the meantime, build a custom field, or use a flagged memo on the client record, as a running log you can report on later.
- To give someone power of attorney access to a client: add them as a related individual/contact, invite them to the portal (which gives them the same filing and document access as the client), and set them as the primary contact so engagement letters and sign-offs are recorded in their name.
- If signing requests are landing against the wrong client type, check which form was sent — a limited company onboarding form files under the company, while a self-assessment or individual form files under the director personally — sending the correct form type resolves it.
- AML functionality is in active development, with a placeholder already visible under Settings > Integrations, but there's no firm release date yet. There's currently no planned timeline for native timesheet functionality either.
- Sending automated emails from a personal mailbox is blocked by design, as an anti-spoofing and impersonation safeguard. The workaround is to add the Microsoft 365 integration for both the personal mailbox and the shared/company mailbox, then check each automated job is set to send from the correct one.
- When setting up HMRC 64-8 agent authorisation, follow the integration guide in full and in order, including pasting credentials and references without stray spaces or characters, then save and re-authorise before requesting authorisation for individual clients. Skipping steps here is the most common cause of related support tickets.

Good afternoon everybody. I hope you're all well. U welcome to the engager uh weekly live with me Andy. Um Johan is unfortunately away. Um he's either away or he's doing the budget report. I can't remember which, but he's also away next week. So I'm afraid you get my ugly mug again next week. So apologies in advance. Um hopefully you guys can hear and see me. Um, if you could go into chat, Chris, you're probably there already, bud. Uh, if anyone could just jump into chat, little bit of housekeeping, just let me know that you can see me, you can hear me, and uh, I haven't got dead air like I did the last time I did it.
So, you can see I don't do this regularly. Um, and it's always always a bit of a fun one. Um, but yeah, um, I think the last session I run, um, people had to point out to me that I've been talking and my mic wasn't working. So, thank you. Um, guys, yes. Um, not a lot to really sort of cover off. So, this might be a good one for uh using the Q&A um a bit more. We've got something that's really really cool that that's coming very very very soon. Uh, or actually no, it landed this week. Um, I was off sick yesterday on the Wingly. Um, so I'm sort of paying catch up again.
Um, but we have launched multi office. Um, so if anyone wants to dive in the chat and just say, "Yep, you know that you you would benefit Multi Office or you want to see it." Um, I'll run through it anyway. Um, but it'd be good to get some feedback on it because I know it's it's like the first phase of running Multi Office. No doubt we will um add bits and pieces to o over time as well. But for now, what I'll do is I'll give you a little run through. Uh, so this launched on Monday, uh, I believe. So, let me just quickly share my screen. Hopefully you guys can see again.
And if I quickly go back into my settings, uh, so we now have offices, quite subtle, uh, but we've now got offices under practice details. And so this is where it's going to start to house, you know, you can start to build out your locations. And I was trying to think of pract more practical uses for those of you that don't use um that don't have multiple offices. I was trying to think of a a crafty way of maybe um creating an office under the guise of a team name. Uh, and then you can also have um further reporting in your camb, but I didn't have time to play with that.
Um, but maybe maybe I'll talk through me madness as as we go along. Um, you did miss your abuse, Chris. Thank you, Chris. Love you. But basically, um, yeah, what we've got here is we've now got the the ability to segment people's offices. So we've got an example here where obviously we're tax account. So we're we're based in tax calcium, but in this example, we've created another office, but you can see there's nobody assigned to it just yet. If I click into it, it's all kind of self-explanatory, you know, um you get the office code, which is super useful because this is going to be um this will be displayed on your client screen as a field.
So that's going to be useful for better reporting. But the main thing is it's going to filter this into um your camb view and we'll have a look at that in a minute. But you know how you got all your filtering options and your adjustments on the lefthand column. You've now got one for office as well just to give you that better segmentation as well. So uh you can obviously change the names, set this as default. Um in this example we will just leave it as the London office as as the secondary office. Um, if I sort of hover over here, I've got my uh all all of the staff that are linked uh to that particular office.
But uh and you will see the number of clients that have been assigned to that particular office as well. What I'll do is I will assign myself to the London office. So it's it's well thought out, you know, it's quite self-explanatory really. You know, I've got my staff system users and if I just find myself over here, I've got the primary office blasted up nicely. Uh, but I'm just going to say to um the system that I'm actually in the woking office and I'm just going to hit save. So now if we go back into uh our offices, you can see that I should be.
He says I definitely hit save then, didn't I? Let's try that again. Uh settings, staff, system users, move me into the London office. Uh, okay. Hit save and then let's go back into it. There we go. That worked. Phew. It's just me being silly. I'm ill. Um, but yes. So, we've now got multi-off support. So, when you go into your client screen um as well, you're going to get that sort of extra sort of filtering in here as well. So, I just need to turn the columns on. So, I've now got office here as well. So really really useful you know if you want to approach your you know your offices um individually or you know you want to bulk email your message you can use the filtering here but also I can now as part of the filters I've got my office and I can just find the London office that's because it's a client not staff sorry that that's that's me madness this morning u but yeah if there was clients linked to uh if the client was linked if alpha was linked to the office which should be in terms I leave.
Um, here we go. Pop it into the London office. Try that again, Andy. And then we go back into here. You should be able to filter. There we go. He's not mad. He just doesn't know what he's doing. Um, and then now I've moved this company into this particular London office here. Um, the main benefit I think is going to be this. You know, when when you are, you know, um, a larger outfit and you do have multiple offices, you want to be able to go, well, what's really going on with the London office? Um, and then the good thing here by using this, you then got the extra segmentation of them being able to do it by job types, by staff.
And I was trying to think of something really, really practical uh before the call, but I just didn't have time cuz I had to hop on someone else's call. Um, but I I was wanting to play with treating this as like a department or a team. Um, because if I had if I set this up as say Andy's team and then I could have the staff underneath it and then I'd have better filtering by the staff under my team. Um, but I'll keep I'll keep playing with that and then maybe I'll present something back um next week for it as well. But super super useful. Um, you know, for for those of you that do have multi offices, um, should be a bit of a game changer being how to have that extra sort of breakdown, that extra sort of filtering.
Um, reporting as well because, you know, you want you want to see where the money's coming in. You know, which office is performing better. you know, you've now got that extra sort of layer uh to your reporting for the finances, for, you know, job performance as well, staffing issues, you know, that kind of thing. Um, so you could actually do it where if you have a look at all your jobs across all all the boards, you know, I'm I'm sure there's there's something you could do where you're looking at staff and if you're thinking, oh, there's overload here or Nick's now in the London office.
Okay. Well, why don't we get some of the woken guys in to the London office to then take out some of that work for the Londonbased clients, you know, if if you're all if you're able to do that. Um there's there's a lot of practical applications for it right now. Um yeah, any any thoughts on that? Uh any thoughts on that? Um I know not everyone is going to be using multi-off um but but it's a new addition to the system uh and something we want to sort of really sort of champion um a bit. Um, I'm gonna have a quick quick look at the old uh Q&A. See what's coming in.
Heidi, I have two questions. Uh, what are the benefits of connecting Zenon? Uh, brilliant. Let's start with that. Zenon is awesome, Heidi. I'm a big big fan. Um, so I don't know if I've got it set up in this particular account. So, let me dive into here. Um, so the reason I like Zenon, um, Heidi, and many people do that use it, uh, it's this health score really. So um what you can do with Zenom is for each service that you um so once you connect all your bookkeeping and everything like that each service that you have so if I've got annual accounts here you should be able to tell the system what you want Zenon to patch into.
So this is saying um what do I want it to um display on the uh on your jobs cambban. That's his previous financial year. I'd probably be more focused on like unreconciled items or you know I you basically look through this list here and then you basically um the Zenon product will look at the bookkeeping uh and just as an example if it looks like chaos in there then it's going to flag it and it's going to give it a poor health score. Uh and then what that will do is your jobs so when you got all your jobs going down like that then it's going to go this looks like you should focus on it first and it will just shoot it to the top as a priority.
So VAT is a really good example of that. So when you're doing I don't know if I set up in this demo account total is count. Okay. So that might be a better one. So let me see if I got a VAT job that's connected um to Zenom. I don't know if I have, you know, but the idea would be that if you're looking at VAT or any any particular service that what it will do is it will focus in if it if it looks like carnage, if there's a lot of, you know, unreconciled items, you know, unmatched bank payments, that kind of thing, then it will basically shoot it to the top.
So you got a button over here that helps you not just the records received date, but I'd prioritize by the deadline first really um but then also how bad is it in that particular job. So it's going to be actively looking at your um at your jobs um and it's looking at the bookkeeping and it's basically going to say this one looks really really awful. Uh you're going to need to focus on that one first. What you can also do though is um include it in part of part of your pricing. So just as the example I think on this one annual accounts it was looking at I think I changed that didn't I?
Um it should be did you say health score not total issues financial previous? Okay cool. So, what this one would do then is when I'm adding a new client, Heidi, if I hit new client, when I come to step five and switch on the uh the annual accounts job, it's going to be telling me what the you know, not just what the record quantity is, but you can also set it up. So, it's looking at their previous turnover. So, if you got a client and you're basing your dynamic pricing on turnover and it's telling you that, you know, the client's telling you it's 100 grand, but Zenon's telling you it's 250.
Well, you're going to charge them at the rate of 250. So, you're sanity checking uh using their bookkeeping software, using Zenon to sort of pat into it. Um, so really, really useful for pricing, you know, for pricing up all your work. Um, but also for me, it's about, you know, work prioritization. Once you got your client connected, it will look it will help you um, you dig out anything that needs um, yeah, not not just not just a regular job. It's going to be carnage. It's going to be chaos. uh you want to focus in on on that kind of item first.
Um that's what we're seeing from the feedback. That's kind of like the most uh useful part of it. You know, helping with the pricing, but also helping you prioritize any work uh that's going to take you a little bit longer. Uh another question, uh can the notifications of client or client uploads go to more than one team member? Uh yeah, Heidi, what I would do is um and this is a great shout really. Always double check because um some people get bogged down in notifications. If you start to feel overwhelmed by notifications, step one for me is always use this show group summary because that breaks down every notification type into smaller, easier to manage chunks.
U because I get it, you know, this this list can look, you know, it's quite it's quite unruly sometimes. So maybe I would, you know, focus in on the grouping. So go to the group. But also that's sort of step one that I would do. But also Heidi, what you really want to do is just make sure the right people are getting the right notifications. So if I go into jobs and notifications, you just want to make sure that you got your whole team here. So when you got the uploads, client uploads file to client portal as the manager. If you are the owner as well, get yourself off that list.
If you have a team of people, get your admins on there. get your juniors, you know, you want all those team picking up that sort of I was I was going to say grunt work and it kind of is, but you know, if if you're the owner of the business and you've got a team to help support you, that's their responsibility, not yours. Um, and and that's what happens with notification overwhelm because you're getting notified by everything by default. So maybe just as an exercise later, expand all of these, see the ones that you want to be told about and just get yourself off there.
Just make sure you, you know, you've got a replacement in there for you and you've let them know to start paying more attention to notifications because people can get a little bit notification blind. Um, so I would, yeah, just review what do you want? Yes or no. Get your name off there if you don't need it. But make sure um, so this is a good example with the client uploads. I've got five people there that are going to pick up the notifications. They're the guys that are going to steer through it, check the dates, check they're the right statements, etc.
uh and then make sure they then take action uh accordingly. Um that's how I would play it. Uh let's have a quick look. Q& A. Uh can ignore dead internal deadlines be ticked on permanently? Um I don't know actually. Let's test it. Um, so Heidi has asked, "Can ignore deadline internal deadlines be switched on permanently?" Um, if I just do that, have a play around. Do go into there. Move around a bit. Let's just go back to clients and then go back into job types. Mine t mine stays. Um, it could just be that um, it's a it's a caching issue, but let's just try something else.
If I go back into dashboards, play around with this for a little bit. Go back into jobs. it sticks. Um, if yours isn't sticking, it may it may be something else. So, it might be worth speaking to to our guys in support about that. Uh, or create yourself a view. Um, so if you got ignore internal deadlines on save it as a view. So, I could just say um save current state as a private view. Um, ignoring internal Oh, can't spell today. I haven't had enough coffee. Uh, ignoring internal deadline. Just save it as a view. So, it should remember your settings from there.
Uh, Q& A. Uh, notes added to a monthly job card disappear when the job rolls over. Ah, anonymous attendee. I don't think that that's um that that's not by design. Um, absolutely not. So, what I would do is I would just make sure you're using comments, not notes. So um whoever's asked that question, the comments always roll over every single month, every week or every uh iteration of this job using comments stick to the job forever. Every time they cycle forwards, comments always stay. These these are relevant to this job only. So it may just be a slight re reworking there of of um the approach.
But yeah, um comments stay on the job forever. Notes are pertinent just to that one job. So that may be the confusion there. Uh someone just sent in the big old question ask um duplicate emails in client communications. When I send an email to a client and copy in two colleagues, the same email appears three times in the client's coms. Yes, absolutely. Um because it's picked up free logs. Um yeah, ask it. It's it's annoying. Um but it's it's not going to be changed um because free emails have been um associated with that particular record. Um so there's not there's not a lot you can do there.
I'm just going to double check one thing just in case. Uh but I don't think there's a lot that you could do there. Um so practice email. No. Um you kind of want like an extra option here, wouldn't you? Um for for CCing and blind copying, but it but it's not there. That would that would require a rebuild. Um but ask if you go on to the Facebook page, our Facebook, look look for somebody called Cat Lin. Um, so, uh, the reason I mentioned Cat Lin is she is amazing and she's rebuilding a lot of the email functionality anyway. So, if you can find a post from her on Facebook as then you might be able to uh, get that in there.
Um, I know that she's working on like multiple shared emails because engager supports one at the moment. You know, you will get as many individual personal um, emails associated. Great stuff. But you want more. you want VAT at, payroll app, info app, hello at app. So that is that's that's what she's building at the moment. So try and get it whilst you sort of focused on that as so dive into Facebook, go to search on the group and you should be able to find Cat Lin uh and see if you can chime in with something there. Uh question two for Maser updating client activities and risk assessments.
Under our previous system, we regularly updated clients risk assessments to reflect changes in their activities. For example, a client might increase their property portfolio for three to eight properties. Okay. Okay. Okay. Is there somewhere? No. So, is there somewhere in engager where we can record and continually update this? Um, not by um not by default um ask but what I would do is I would build custom fields. So, with something like that, I would perhaps start to do something a bit bit clever like you know client data custom fields. I might want to add a new field.
Um, changes to per uh company circumstance. Um, company circumstance comes. Got to make sure I spell that right. Um, and then then what I might do, I'll pop it in the summary as well. But then what I might want to do is if I just wanted to put ask you if I wanted to put just notes, use multi-line text. So um what we could do is basically just have a field to capture this information and then this becomes like a dumping ground for any any sort of changes or what you would do is you would try and do a bit more reporting and say uh you'd have like a dropown choice um sorry a drop down choice so you might want to have like like you said um portfolio oh I can't spell today um increased u and then it could be like a yes or no uh yes or no sort of answer there.
And then you'll start to build out, you know, um value increased. Um what whatever it needs to be, you know, you can start to sort of map this out a little bit more. Um but it's there isn't a a section for it really by by by default. But once you sort of created those bits and pieces, where is it gone? Where's my custom fields gone? I have lost it. Oh yeah, changes to company circumstance. Cool. So, where have I got that? Change to company circumst. Let's just get something in on Molly Baker. And then you'd find it in here. So, this this is where you'd start to put the information.
Um, and I can say portfolio increase. So, just save that in there. And then that's where you would all integration fund times. Why mention that? Um, and then if I click into here, hit save. Yes. Go away. Just let me do it. Anywh who um demo account. Um but yes, you'd find that they would start to populate. So you could either use um you can even build it as custom fields for reporting or what a lot of people are going to do, they're going to use notes or memos as a bit of a jumping ground. So, if I find something better like um I find something that's less used, clear your mind, charity, and if I go to memos, I might want to say add new memo, portfolio changed.
Yeah. And then I can put in more notes there. Uh and then what I would do is just make sure that I flag it so it's always on the client stamp like that. Uh and then but you'd still need somewhere to track it. So I I would perhaps go down the path of using what we just did with the custom fields saying changes in risk um or whatever how however you want to word it and then have the tick boxes as to why um there's been a change. Put your notes in here as memos as well and then you know every month you'll be able to look through your clients or whenever they need to redo their risk assessments and then you'll see um uh everything that you need to do all all the relevant changes there.
Um Recording client on boarding notes. When taking on a new client, I normally have a 30inut introduction call and make detailed notes about their background, business history, and activities. Cool. These are currently kept in word documents on new client forms. Is there a dedicated section engaging where we can capture, store, and update all this information? Um, so with that asking, what I would do is if if they're like questions that you you will always um ask um and have a have a bearing on the account, I'd maybe do what we did earlier, you know, create custom fields for on boarding questionnaire and then you can have uh all of your questions and answers mapped out.
Um, and then you can have it all coming into your client reporting in here. Or you keep things really really simple and then you would just do what we just did then again is anything you capture on the word doc into memos. Just store it in in memos you know or you could actually download the client file uh and record it and leave it in their documents here you know um your on boarding call could could be stored here you know for you to refer back to. So it's up to you how you want to do it but um many people will just create on boarding notes.
You'd have your um if if they're qualifying questions that you would have, you'd record the outcomes and then you map it out in here in custom fields. You have yes, no, u turnover amounts of whatever it is you want to um whatever it is you want to ask and capture. Uh do ah okay Jane, how would you set up a client where there's someone with power of attorney looking after the tax? Ah, it's always a good one that um so Jane what I would do is I would I would add them to the portal as a related contact. So um if you've seen let me see if I got an example.
Have I got I got a tier in here. Have a look. Cool. Where is it? So effectively, if I've got an individual um that needed power of attorney, you would get rid of that. You would create a contact. So if I find the individual, I go to the individual. Why can't I find this? It's cuz we've got different demo accounts at the minute. Um so let me get rid of all these custom fields. I don't know why these all ticked. Um, so if I got related, there we go. Thank you. So if I was in uh let's find an easier easier one to go through. If I got Alex Evans over here and Alex Evans is an individual soul trader.
So you want access to all of his personal records. You want to act as sign off. Um, what I would do is I would get them added to the related individuals and contacts. So when you add the person with power of um power of attorney to the related individuals and contacts, you just add them as normal and then you would still invite them to the portal because that portal access gives you access to Alex Evans all of the filing features, all of the requests, all of the filing documentation which you have legal power to sign off. So you you they um the person with the power of attorney will be set up in the portal, you know, but you relate them to the individual uh if it's just their individual affairs.
If it's the company affair then what you would need to do so um if this is a twoperson outfit that's a slightly different question I think because if this is say two director um it's not in this case but if it was a two director person then I don't know how I would handle that if it's just one person then I would also give the same uh the person with power of attorney access to uh the online support shop here so I'd also add them as a related individual in contact as a power of attorney so they can also practice the limited company and also Alex's individual affairs.
Um they can still do the sign off for them. Um you would just flip them over. So going going back to Alex Evans here, if I added the me as a power of attorney, I'd switch this to maybe a secondary contact or not a contact with me being the primary. Uh and then I'd leave myself a note on the system to say, you know, Andy Thiel has power of attorney is responsible for all sign off. Um so that's probably the best way to hand it as well. uh in in the system. Let me just bring it up. Where's where's my chat gone? It's gone there. Uh okay. So, a question link to the duplicate email.
Could we have on the email use the mentions? Ah, yes. Uh Nessa, it's coming. It's coming. Um so, that's part of catalog in this project. Uh so, mentions. Um I think we were looking at mentions. I think we're looking at triage. you know, lots of cool bits and pieces uh are set to come over the few the coming months. But what I would say to you guys, anyone anyone with questions or they want refinement to uh to the email um system that we got, get involved with with Cat Larkin right now because I know she's scoping. Um I don't think anything's fully committed just yet.
So, if you want to get um a piece of her time, she's got a link on our Facebook page, uh Cat Lin. um get on there and try and get some time with her because she's actively getting out there and say, "Who wants 20 minutes with me? What are you thinking? How can we help you?" So, perfect, perfect opportunity to get in there and get your thoughts across to somebody's actively listening and and desperate to work on their email functionality. So, yeah, that's get in there. Um yep, same thing as a CC. Yeah. Uh so, when on uh Shelby, when on boarding a new client, the forms are stored under the director rather than the company.
Um well um it sounds like you're sending out under the wrong um under the wrong thing. So if I was to send um let's have a quick look. If I was to send coffee and cake a form, the form would always go to the primary director anyway, but they should be stored against here. Um, so if I was to send um can't really test it on there, but you know, I've got my um I've got the um on boarding for a limited company that would go to uh that'll be associated with the limited company, but it' be completed by the director. Um but then you'd have a separate form.
You'd have your you know your self assessment forms going to your director. I think it's just a case of how you're sending them out, Shelby. Um, so if you're sending an onboarding form, so you got a brand new limited company, send the limited company for um on boarding to the limited company, it would still go to the director, um, but they should be sitting under the separate um under the separate areas here. So, let me see if I can run a test for you now. Where's it gone? Uh, this one. Uh, let me see if I can find something. Got got some shiny new demo accounts.
Some of them are really, really good. Some of them I need to work out how they've been set up. Um, so let me just quickly put my columns back on. Where's manager? Uh, there we go. Cool. So, where's Stew? Stew. Stew. Where's the Stewart? That the guy? Is that the one I set up? Steer. That's a bit weird, isn't it? Uh, let me just see if I can find something. I just want to run a test for you. Mhm. Okay. Okay. Interesting. I was hoping to run a quick test for you guys. Um, which account am I in? Ah, it's in the wrong account. That's why. Um, so if I go into my Here we go.
Right, cool. I'm logged in as the company. Stu is the director. If I send a form to the company, uh, just send that out. I've not done that correctly, have I? Um, new request. If I just do limited company, whatever it is, on boarding, get it out. Go, go, go. Run that test. I am Stu logged in. Under my company, I've got both my actions linked. And under Sierra Limited, I've got my form. So, one there. So, that's doing the correct thing. Uh, and if I go into Sierra again. Oh, that's annoying, isn't it? Um, if I go to Stu as an individual, send him an individual signing request.
Get that up there. Do a self assessment just as an example. Get that out there. St gets that. Quick refresh. Yeah, it's doing the correct thing. Um, Shelby, I've got a feeling they just might be sent out the wrong under the wrong client types. So, as you can see, this one I sent the limited to the limited arrives in the limited section and a person to the personal arrives under the personal. Got to think it might just be something like that. Um, cool, cool, cool. Uh, and then how should we deal with signature of the LOE where signed by power of a zerni?
Well, it's the initial I think Sharon. So what what what it's going to be is when so say I signed as power of attorney, it would be stamped by me. Um I would put Andy Tier. So that's your evidence. That's your your legal stamp to say it's been signed by the power of attorney. Um that's that's evidence enough. Um so and the system would acknowledge it because you you would be primar um so I would be the primary on the account. You have all the documentation to say that Andy Tier is the POA for this person. So yeah, it should be fine. You know, it'll be signed off by me.
All the legal documents will say me. Uh yeah, so you just send it to me. Mark me as the primary contact uh on on that page. Uh oh, ask it. When is the new time sheet and engager AML likely to be launched? Um ask not really too sure. Um so the AML side of things I know that we're working on, you know, really really hard. Evan's flat out doing that. And uh you know, we're really excited to get something out there soon. Um I you probably saw, you know, there's a couple of bits in one of these demos there. I I can't show you it because it doesn't exist.
It's just a holding page, but you've got AML there. So, the fact that it's in the system at the moment means it's progressing nicely. Uh there's there's nothing to demo. There's nothing to show. Um but yeah, we're building that. You can see there AML AML new. So, we're building stuff behind the scenes. So, it's it's committed, it's developed, it's it's flowing along nicely. Um, and because it's in the system, it's already there. We're just building bits around it. So, these are just like the placeholders for what's to come. Um, in terms of the time sheet asking, no idea, I'm afraid.
Um, what would you want it to do? Uh, it does quite a lot the functionality, but you can't do time sheets and stuff like that. I don't I don't think the whip uh reporting of whip is is as stellar as some time sheet only systems. Um so I know that's part of the the commit but I haven't heard anything about a time sheet um launch for a long time. So I've got a feeling as that what it would be coming soon massive upgrade to the emails thanks to cat lin. We're looking at multi um uh bulk fee increases and that's stew. Uh, so again, get get on to Facebook.
Stu is handling um Stu is handling all of that side of things as well. Um, so keep an eye on Facebook. You know, we got some wicked developers that are getting in there regularly, you know, and they're, you know, they're doing their best to engage you guys. So, um, maybe a good idea might be that, you know, one of these sessions we we get them along. Um, but at the moment they're offering up their time. You know, they're they're giving you their meeting links. So, um, get in there, get onto the Facebook group, get yourself booked in with Cat or Stew for some of these things.
You get a better answer than than from me anyway. Um, Sharon, I need to be able to send it to the PA. Uh, yeah. No, that that's what I mean, Sharon. So, um, what you do is so say that I'll run that example again. So, if I was in Coffee and Cake Limited, that's the company. Um, imagine Ash here. Ash is the power of attorney, Miss Molly Baker. So, Miss Molly Baker is no longer the primary contact. You know, Ash has taken over because he's a sound mind, etc. So, Ash becomes the primary. You can even mark Molly as not a contact. When you send out the documentation, it needs to be in in Molly's name.
So, uh and it needs to be signed off or have her details. So, it will look as if it's from Molly, but the sign off the system has permission for Ash Hall to sign it off u because he's installed as primary contact and he's a related contact. is a related individual um to Molly Baker. So I'd have to set up Ash Hall here as a related individual for Ash to be able to access her portal and her documentation. So you just need to switch it so that Ash um is the primary uh the primary contact. Uh John talking AML, I use Armor, but I want to switch to tax cap.
Is there a demo or live video? Do you know what John? Um I'll get someone to give you a call about that um because there's a lot of changes. Yeah, but before the launch of the new uh before the launch of the new stuff, uh I've got a feeling we are we're getting people onto demos already. So, let me make a note of that, John, and I'll get someone to give you a buzz uh a bit later about that. Um because it's it's going to be coming into engager, you know, obviously, as you can see, we got the buttons there. It makes sense. It will be done uh through engager using tax.
Uh so, very very cool, very exciting. Um I think I think we've got team training on it in the next week or two. So that means it's yeah it's going to land it's probably going to land you know this side of uh the year anyway. Um so should see it quite soon. U can't seem to find Cat Lin. Um Cat Larkin is cat. Um so what you need to do um anonymous attendee are you part of the Facebook group? So you need to be part of the Facebook engager group. So hopefully doesn't log straight into mine. Cool. It doesn't. So, what you want to do is you want to if you're not in there, you need to be on this particular page.
Uh, and then you want to go to search. You should have cat lining or it should be there. It was there earlier. H catcha lining. There we go. Um, that should load up. You should be able to post. Here we go. Uh, that's the post you're looking for. So, uh, I can you should be able to tag people in here, but you're anonymous. Um, yeah, look out for this post. Look, Pat's there a couple of weeks ago. Shared mailboxes, scheduling emails, draft emails, that kind of thing. Um, so get your your answers in there. Get everybody in there having a quick look there.
So, that's what you're looking out for. Um, Melissa, I seem to be having an issue with sending emails. I have some automation uh automated templates set up with mining clients with certain deadlines and things needed and recently the system won't let me send the emails. It says it can't be sent from a personal uh and I have to use the shared uh Melissa um it's um there's a reason for it. So what it is is um it's called spoofing. It's called impersonation and spoofing. So, the way the system's built and, um, to use Johan's phrase, just because a car can go 100 m an hour, uh, does it mean it's legal?
So, what I would say is, yeah, there's systems out there that allowed you to send automated emails from any address. They don't care. But the system was built to basically say, you know, um, you can't have, um, an email coming from someone that's not signed in that didn't really send it. So it it basically thinks it's not not fraudulent um but it's trying to protect you because there have been tribunals where a staff member has taken their boss um to tribunal or the firm for one thing and then they've also said oh actually they sent 5,000 emails in my name all automated I didn't sign off on that and then that's that's spoofing that's impersonation.
Um the quickest way around it Melissa is to basically just do this. Um it's not it's not a hack you know because you know you don't you don't particularly need a shared um what you can do I believe is you can still come into integrations click on Microsoft 365 and have both so have um select Melissa app up here you know get yourself installed there that's your personal but then also do it for the the company u also do it for the company because then once you're once the system thinks you're installed as a shared what you then just want to is make sure so that's that'll be step one is to get your your Melissa app put in as the shared as well.
Then you want to go back through all of your automated jobs and then you just want to check this. You want to make sure that you got it going from the appropriate mailbox here. Some people will have it, you know, set up as personal in which case it comes up with a red error message, but if you pop it on to shared, they'll start to go and and you should be fine. Uh so yeah, um let's get it installed as a shared and you should be okay. Uh uh uh ask here do I have to enter agent ID and pass it each time for every individual client? No. Or can engage automatically retrieves the information with one click as tax does?
Um so for 64A agent or um ask what what you need to do first the very the very best thing you can do when you start to use a 64A is do this. You literally work through this guide because it there's a few components to it to get it up and running and it took us a while to write the article because there's a lot of moving parts um as gear. So promise me that you'll do this because lots of people don't and they don't read the article and it drives us mad um because there's a lot of steps that people miss because they're impatient. They want to get it done.
But effectively what you do, you come into the system up here, you go to settings, you go into integrations and HMLC. You basically fill these in. You fill all these in. So you get your your letter based credentials in there, your IDs, passwords, all of that stuff there. And then you also do the MTD side of things for the, you know, the other bits and pieces and VAT and everything like that. And then with this bit here, everybody does this because they're copying and pasting off of the website. Um, when you copy and paste, it breaks APIs or it puts in rogue characters or spaces or something like that.
Make sure that your reference looks like this. No gaps, no spaces, no nothing. Uh, save it and then reauthorize it. So, once you save it and reauthorize it, it will do the checks and then you should be fine. But once you've done that, dropped my mouse. Once you've done that, um, that's done. Once you've done that, you can start to use the system and then it's a case of, you won't have to do it each time. It's just a case of going into I broken my mouse. Um, it's then just a case of going into each client. Um, oh god, it's slow. Going into each client, going into tax references, and then you can start to trigger the requests.
So, once you got your your credentials in the back end, uh, you can start to do, you don't have to worry about this. Don't use that. You want to do the requests here. So, once you plug in all your information up here, you then want to go request authorization from HMRC. you could do your request from one hit, but you've got to go through that those steps and that process of getting everything set up properly. So, don't skip that guide. Uh it's got loads of little bits in there that if you don't follow to the letter, it will fall down. Uh and then you'll end up speaking to support and they'll tell you, "Have you done this?" And you'll say yes and you haven't.
Um so, I know I sound a bit grumpy, but that's because I've been on been on the receiving end of all those support calls. Follow that guide to the tea, please, guys. Uh and then you'll be fine. Um, cool. That one is done. Why don't um Jane, why don't I have primary contact available on related related individual? I can only set up as a secondary. So yeah, Jane, once you set it, you then change it. So set it, set the person, save it. Once it's saved, the system will allow you to move the primary over um to secondary because it needs a replacement.
So you got to save the um sorry I should have said you got to save the contact first. So once you save the the contact you can then move the primary over and then you should be okay but you got to save that contact first. Yeah. So Melissa I I understand the problem there. So we we it's either that or what you do is you pay for a shared mailbox and most people have them anyway, but I understand you know if if you're you know if you're a sle practitioner you might not want to do that. You you might want to keep the personal touch. Um but what I would say is get the shared in you if if if you if you don't want to manage it that way then I would pay for a shared mailbox hello at or contact at or whatever whatever you need it to be.
and then that way you can have the separation. It's it's a nicer way of doing things. But for now, yeah, we're not going to be getting around um using that um uh the spoofing and the the impersonation side of things. That's that that's a that's a non-starter, I'm afraid. Sharon, I'm so sorry to ask another question. Don't be sorry um about the same thing. I'm trying to sort out for an individual, not a company. I don't have the option to set the person who holds the P as a primary contact. Um, Sharon, I'll give you a call about this. Um, let let me let me make a note of that.
So, I'll wrap this up in a minute because I think the questions are starting to stop. Um, and then what I'll do is I'll give you a buzz and we'll we'll go through it and you'll be fine. Jane, I might have to do the same then because some something doesn't seem quite right there. It should be once you've saved it, you can just switch them over. Let's have a look. Let's have a look after this call. Okay, cool, cool, cool. Um, quarter two. Blime me. Um, that went quite quickly, right? Um, anything in the chat? Let's have a look. Let's have a look.
Oh, there's a couple of bits in the chat. Okay. Oh, cool. Um, yeah, guys. Um, appreciate the questions. I appreciate it. was um I I didn't have as much prep as I was hoping. Um maybe I'll I'll play around a bit more with the offices. Um but I know it's not it's not going to be used by everyone. So that's why I was trying to think of I was trying to think of a way that you know you could help manage your own workflows if if you're a larger firm and you've got like um you know you because I used to work in pods you know pods were teams you know you'd have five or six people per pod.
Um, so I was trying to think of using um the office as a team, as a pod and then get better filtering on the cam bandan because I was thinking that it's not always the easiest. Um, but then I was going to have a play with it and then report back. Um, so if I was to filter it by I've really broken my mouse. Look how slow that is. Um, and then I was going to mess around with a few bits and pieces here. It was department I was thinking of because yes, that's it. Because if you group by departments, it's useful, but then you lose further filtering.
That's what I meant. Wasn't going mad. Yeah. So, some people filter by departments to see where the work is sitting because they they end up using departments as teams. So, they name they name their teams like team one, two, three, but they put them as a department and then you lose the additional filtering. So, I'm thinking that maybe we flip it on its head and you use multi office as the team name and then have your staff under the office. Better filtering. That's what I was on about. That was me brain. Um, that probably made no sense to anybody.
I know. Um, certainly you, Chris. U, but guys, appreciate it. Looks like all the questions are coming to an end anyway. Um, so on the 28th of October, I'm giving you 15 minutes back. Um hopefully you found that um useful. Um and yeah, I I'll have something a bit more um godamn you Chris. But perhaps I will I'll be a bit more prepared for for next week. But yeah, keep the questions coming for next week. I'll probably demo back what I mean by the teams versus um offices. Chris, you you've tickled me there. Um um and then yeah, we we'll probably have some more announcements anyway.
Um, but yeah, for for those for those of you guys, uh, John, I'll make sure I try and get you a call this afternoon. Sharon and Jane, I'll be in touch to go over um the power of attorney bits and pieces and we'll we'll we'll catch up in a moment or two. Um, nice one, guys. Cheers. See you next week. Johan is he's got um he's he's doing a speaking tour in Sri Lanka, I think, uh, next week. So, he won't be here. So, you got my ugly mug again, I'm afraid. Um, but nice one. Cheers, guys. Have a great week. Best of luck for the rest of the week. Um, and let let's see how we get on next week.
