Andy stepped in for Johan on this midweek Engager Live session, running through a batch of features currently being previewed in the demo account ahead of a planned release the following week. Good afternoon, guys. Um, I'm not Johan. Um, [clears throat] I'm I'm Andy. So, for those of you that don't know me, uh, my name's Andy. I've worked for Engager couple of years now. Um, obviously now under tax help. Hopefully you guys can see me, you can hear me. Hi, Sarah. Yes. Brilliant. Nice one. I reckon Chris White's in the room somewhere. I know he's going to be in there. Yes, there he is. How you doing, Chris? You okay? Um, Nemesis. Yeah, perfect. Um, love a bit of banter, Chris. Love it. Um, hi guys. Yeah, welcome to um the midweek session. Uh, unfortunately having all of this sort of switched over from the evening session to um, you know, during the day it's it's going to cause a clash every now and then. So, you may see my ugly mug instead of Johan every now and then. Um, quite a lot to get through. Um, and I think you guys are pretty well verssed in, you know, popping your questions into the Q&A. So, if you could do that for me, if you have anything, uh, sort of any burner desires, then I'll get to it as we go. Obviously, Johan is God when it comes to engaging use. Uh, I will do my very very best. Uh, but guys, yeah, lots and lots of bits and pieces to get to get through today. Some really, really cool stuff. Um, and again, it just for me personally, it highlights just how much development might work we're actually doing. Uh obviously, you know, we're we're nonstop, you know, with with the, you know, the tax calc uh integration, you know, that's that's um huge part of what we do. Um but we've got, you know, a crack team of devs, you know, they're chipping away at this. So all of your, you know, all of your feedback's been great because, you know, they're getting on top of it, you know, and we're just chipping off those little bits and pieces, uh, and hopefully making it a nice sort of environment to be in, um, and adding some some proper value, uh, rather than just, you know, um, you we build out, you know, tax C constantly. Not all of you guys use tax count. So, you know, we've got to keep up uh, the good work with, uh, with the feature list, right? Um, I am going to quickly share my screen. Two seconds. Uh. Oh, I have to have straight in with the question. Um. [laughter] Um, one of our clients is using two emails regularly. Uh, you would need to create an additional contact. Engage does not yet not yet uh support multiple email uh client or limited. So you'll need to create a secondary contact mark them as a contact only. So you go add new client contact only and you can have them as a secondary uh secondary and then you can have there's a setting on there that can actually link them. Um oh Chris, I've not shared it yet because I got sidetracked. AFAB asked me a question. Thank you Chris. [laughter] So, let me share let me share my screen now. Is that okay, Chris? Good lad. Um, yeah, AFAB. So, it'll be a case of something like this. So, let me just move that out of the way. Get the chat out of the way. Um, it will be a case of going into new client, adding a contact only because you know, um, otherwise it goes goes against your billables, right? Um, so you could have a secondary contact, put in the first name, different email, link them to the business in related business here. So you would link them there. Uh, and then also when you're in this particular section, you would have an option um to actually mark it as a secondary contact and then you could be the also linking from there. Um, right, first on the list is the ability to attach portal uh files to client memos. Uh, and obviously we've recently sort of tweaked the memo system ever so slightly. Uh, hopefully you guys have seen that and you know you're finding it um a bit more useful um than perhaps what it used to be. Um, I think a lot of people found it a bit of a dumping ground perhaps. Um, so now you've got this um rather striking banner uh for for anything um, you know, sort of hurt and that your team must see. Uh, great great example. You know, they owe a bit of cash. Um, so that you'd want that front and center. And that all comes from the memo system there. Um, and what you would do is when you create a memo, you can, if I could create a fake one. What you can then do is put a flag on it. So once it's flagged, that will then go um that will then start appearing across here once it loads. Um, I think my internet's really slow today, guys. Uh, apologies. Um, so what we're going to do is you can now attach your files. Uh you can now link to um your files in the portal as well. Um so if I run a quick example for you um you do Arsenal Brewery, big Arsenal fan, big brewery fan. So if I go into memos, uh what I'm going to do here is I've already got a bit of a note here. I've got an expense uh just an example of an expense dispute, a bit of a complaint. Um sent us loads of receipts um claiming for suits, this that and the other. We've all had that sort of experience, right? Um, but we wanted it to be documented somewhere. I wanted to get that stored somewhere. So, I'm not not losing um any information. I can always come back to it as well. So, what you can now do is when you go once you've got a note, once you go into edit, uh you can see just like you can with with the the job card in in Canvan, you know, you got these two links here. So, I could upload, you know, anything that I want into a file. Um I probably have a folder um that they wouldn't be able to see. Um, so you can obviously change your uh your permissions on on the viewing rights there. Um, then you can just say if I pop it in there as an example, I select that, then I can drop anything that I want in there. So in this example, it's just a CSV. So once that's uploaded, everyone can access it. It's all documented. Um, yeah, nice and simple, nice and structured. Um, hopefully that will get more people sort of using the memo system. Not everybody does it. Um I'm a big fan just because yeah, you got to document your notes, right? Uh any anything sort of major that's happened um in the past. Um I used to work in complaints uh many many moons ago um for a firm. We had like 10,000 clients and one of the hardest things of of my job was to um dig stuff out. you know, literally just spent hours trolling back through uh emails, files, folders, desktops, you know, speaking to the IT team, trying to get them to revive stuff. Having this sort of centralized, getting it into uh engager, quick and snappy, you know, you're not going to miss anything. You're not going to lose hours and hours like I used to do uh either. Uh Kimbley, I don't get the option to link a file on my memo. It's not live yet, Kimberly. Um, so this is the Wednesday sessions, Johan sessions are all the sneak previews. Um, so we'll probably go live. I would imagine it will go live next week. So everything I'm about to show you exists purely in the uh demo account. No worries. Um, yeah, because I was trying to test it on my because I don't have um this is the demo account. I was trying to use mine earlier and I couldn't find it either. I was going what's going on? Um, but yeah, I find that really really useful. you know, hopefully, yeah, like I said, it'll get you sort of using the memos a bit more, getting everything centralized in one place. Um, just, yeah, quick and snappy. And again, it follows suit to the job cards that we've already got, right? So, when I'm in a job card, you can always, you know, add uh add files and folders within here as well. Uh, you can link them there. So, it's just following suit. It's probably just tying the system in um nicely there as well. Uh, a couple of questions come in already. Let's have a quick look.

Oh, okay. So, Jennifer, I think you've you then explained it. So, on the dashboard, the widget for unsigned proposal and LOE is great. Uh, is there a way to only view the ones that are pending? Um, I think I think it some of these do need a bit of tidying up um because it shows all um and I think we had somebody last week on Facebook they wanted to just see yeah the outstanding stuff. So I I do get it. Um I'm pretty sure it's it's it's on the features list, but right now it's just going to show you all you then sort of you know drill down into it. you you do have the drop downs to do that. But I I do get it because it's quite an alarming number. Uh and then that obviously caused people a little bit of panic there.

Yeah. Um, it's it's just linking in into these bits. You can change uh you can change the wording. So, when it says sign the LO, you can just change, you know, the actual context, actual text uh around it. Um, let's go back into the queue and hey, is there a way, Callum, is there a way to link my business WhatsApp messages to engager? Um, not yet. Um it's it's such a burning such a burning question. Um we did have we did have a bit of a partnership or we were feeling out a partnership. I won't name who they were. Um but we were desperate to get it in because you guys wanted it, you know, we wanted it. Johan used in his business. Um but I remember doing some of the testing and it was so clunky. Uh Callum, it didn't feel like an integration. um to the point where every one of your contacts you'd end up um I think you had to create a contact for the email in and out uh and then you had to create another contact for the WhatsApp. So you end up having like another two or three additional contacts uh in total. Um so um really really not uh not good as an integration.
Sarah, it would be good to see on the notes page that there are files attached. Ah, right. Okay, that took a bit of feedback actually, Sarah. Um, I will make a note that because I did see that. Um, yeah, I will take that one away. Uh, and just just flag it because it's it's not clear. Uh, that's absolutely fine. I'll raise that. Go to list of services inserting. I'll be honest, I have not seen that. And it's certainly not in my account either. So if I go into jobs and services. Yeah, links aren't there. I will that that's why I was so baffled. I do I do know what I'm doing, Jennifer. Um links not too sure. Absolutely baffled by that one. I've never seen it. Uh and it's really really subtle. Um I will take that one uh take that one away, Jennifer. Uh because I've never seen it. Uh and it certainly wasn't on uh certainly wasn't on the list that I got this morning. Um fab. Okay. Cool. Cool. Cool. um don't want to get sidetracked too much. Uh we have a new report in the deals board as well. So that's been a recent addition. So we're we're obviously working very very hard uh behind the scenes to get this extra functionality into the deals board. I mean longterm what we're going to have is you're going to be able to have I think you're going to be able to have like a URL that will sit on your landing page. Uh and then that will basically do a bit of sort of data capture for you. I think you might even be able to do like qualifying questions with it. uh just to sort of weedle out, you know, um any client that you don't want to work with or, you know, get them into the top of the funnel. Um and then that information should go into this page uh because we all want you all to sort of use it and get more benefit from it. Um I don't know how many of you are actually using the deals so far. So, we're just building out uh bits of the functionality as go. So, we got a brand new sort of uh report section here. Um so, we got the I need to roll that all the way back. Uh so, yeah, there we go. So, we got a couple of deals that have been lost um and a good chunk of deals that have been won. So, if you've got sort of gung-ho, you know, um excitable salespeople, uh or even client managers, you know, they want to see that they're winning the business. You want to be able to track and it want to be able to track it uh and report on it. So, it's a rather snazzy dashboard. It's actually quite uh it's quite pretty. Um I I think for for one of our dashboards, but you can sort of break it down into lost deals and obviously the one deals there as well. does it by team member as well. Uh and I think this might be new at the top as well. So that's just sort of keeping uh a bit of a track on it uh as well. Uh let's have a look at the chat.

So, links to QuickBooks Zero, etc. I'm not sure what you mean by that relating to the previous question about links and services. ah potentially um that's a good shout but it wasn't on the list um normally I get report from um you know our developers just to say this is happening uh that one wasn't on the list um so yeah that's throw me a little bit um not a problem we'll have a look at that so let's have a look Q&A
show hi Andy quick question on engages pages road map. Are you planning to introduce automated on boarding workflows where once a client science AML ID checks and on boarding forms are triggered automatically without separate emails or chasing? Yes, I think we will. Um we we're obviously working with um working really hard with tax cap to get the AML into engager. Um so that's that's where we want it to go. um whether or not it will sort of trigger automatically. I'm always I'm always sort of cautious of saying yes, it's going to be automated because it's still part of the flow, isn't it? You know, it's still part of your, you know, on boarding when you hit sort of step seven, you know, you sort of work across, you know, one through nine. When you get to step seven, that's when you're going to trigger the requests uh for the AML. So, I don't know um whether it will do it there. I don't know um whether you'll be able to have like a form to trigger as well because a lot of people what they want to do is when they add a new client um and obviously the uh if they do the LOE then um you know they get access to the portal straight away it's the final thing they see um what you want to be able to do is when that goes out that the portal is there and there's already like pre-made forms the KYC stuff that's I think that's where we want it to be um because obviously we know how how important on boarding is you know and how much time is really sort of spent there. Um, so I know that we're building out the AML side of things. I know that we're looking at uh where we send data. Uh, so I think Shams as well with the deals board. I think this is all kind of up up in the air and under review. Um, because you'll be able to do data capture on the website. uh if you have the um the proper engagement pipeline once that's built which should be yeah you maybe a month or two um it will do a lot more data capture of forms and KYC stuff we might be able to sort of build it into that bit um that's what I'm hoping that's what um I I think that's what everyone's hoping for really um Shamsil but not too sure not too sure um I think they're they're always sort of always evolving u with the dev side of things as well and we're trying to build it So it works for engage but obviously we got to try and marry it up with with tax calc as well. Uh and then that's that's you know that's another sort of sticking point as well. Uh Nadine, how do I stop my individual catchup fees for each service from rounding up to the nearest pounds? It's interesting actually because we've literally just built something and that's on my list today. uh Nadine which is um so if I come into Arsenal Brewery again um somebody um wanted to round up um and obviously the system it it wasn't doing that. So if I came in to say um self assessment let's find a self assessment in it. If I quickly mark this as quarterly
7813. So um this took me a little while but this this is obviously coming uh probably probably next week. So I know it's not the answer to your question. I'll get to that. Uh but 7813 once I select it uh there should be there we go. So it's really subtle. Uh and I might feed that back actually because I I missed it when um when I had a bit of a play earlier. So there we go. So it has rounded it up. So that's that's very very subtle and that's that's a new change. Um I think we had somebody on Facebook again you know again people keep giving us the feedback right um and we were able to develop this very sort of quickly. So yeah there's a rounding feature uh that will be with you very very soon. Um really useful but I found that really subtle actually so I might feed that back uh before it goes live because I missed it. I did miss it first time. Um, so sorry you were saying about the catchup fees. So let's run a catchup fee. Let's go back to your question as well. How do I stop my individual catchup fees for each service from rounding up to the nearest pounds? I'm not too sure. I don't know what the coding is behind them. Um, you have got the options here. Uh, do So you got do not is this is this what you're looking for? You got do not round the installment. rounding still be up to the nearest integer five on 10. Um hopefully that answers your question. Um but yeah, the new feature is rounding up, rounding down um when you add a service that was requested that's highly sought after actually um according to the feedback. Uh Miriam, if if I um if you request HMRC agent authorization, is it possible to receive the code directly from HMRC into engager? Um, so the letter based stuff, it will always go to the client. So that's always going to be sent directly to the client. Once uh once that um once the system tells you that it's been issued, uh there'll be an option on um within the app to basically say send a reminder email to your client. So yeah, HMRC will always send it to the client. You still got to prompt them to send it to you. You then enter that code into engager. The MTD side of things is slightly different because it's all done with links. Uh much much easier. Um no sort of messing around with post uh and chasing down clients uh to to send you um you know the reference number. Uh Chris, can you show the new parts of deals? Do you mean this, Chris? I'm not too sure what you mean. Um so
is the Is it the card layout? Is it the reports? Is it the deal summary? Um I'm not too sure, Chris. Um, I've not really had much experience looking at the deals. Yep. Um, let's have a quick look back here.
Oh, you even said ignore you. Sorry, Chris. Uh, right. Okay. Personally, I think you if you're integrating into the onboarding process with tax, then it should also be integrated with Zarma. Not all of us use tax for AML. Um, yeah, I mean Sarah, um, I totally get it. you know, we we really liked um you know, we really still do like SAM. It's a great bit of kit. Um but I think um you know, with our developers working 247 with tax calc, it will just um it will just be integrated a little bit more deeply. Um we're not we're not removing it, Sarah. As far as I know, that's definitely not on the cards. That will never happen, you know, because Yo Yan's obviously, you know, he's wants to give you guys uh choice. Uh Zama being been great. I I think we wanted I think we wanted more coming back on the API into engager. Um but it just didn't get built. Um so I do think that the the AML side of things will be a much deeper, richer sort of integration. It makes sense, right? Um but um we're not going to be removing um we're not not removing Zama. Don't worry, Sarah. Uh
Shams, thank you. No worries. Um, and let's have a quick look. What else have we got? What else have we got on the list? Um, oh, I guess the big one. Um, and yeah, PE people people have been on us for the for forever since I've been here. Um, for for having new statuses. Really, you guys want customizable statuses, don't you want to be able to create your own? That would play havoc in in the system. It really would if if we just allow people to create as many statuses as they want. Um, but we now have three new statuses and new colors. Actually, I didn't I noticed it's a really quite nice teal color. Actually, so this was probably the most requested one actually to actually say that the review's been complete. Um, so when you start sort of breaking all this stuff down, let's get that one over there. Let's So, we got that waiting payment and we've also got the waiting signature. So, my advice is always, you know, create phases for it. Um but obviously that you know you can't get the siloed you know cambang reporting that that you will want and need. Um so the you know the lads have built it. Um so yep we've got three brand new statuses. All the reporting functionalities there you know not um obviously the way it interplays with the cam bambles there as well. Uh should be there on your conditions as well. So that's one thing I forgot to check this morning was job services should be a conditions otherwise I've just found something. Um brilliant. It's all there. Awaiting payment, awaiting signature. Absolutely fantastic. So, you could actually create an automation to chase um awaiting signatures. That would be quite nice, wouldn't it? Um you know, if you haven't got anything back for them, you could automate the chasing for the signature based purely on that one status. That's actually quite a good shout. Um but yeah, um people are going to absolutely love uh the additional statuses. Uh I hope you guys will as well. Let's have a see if you are loving it in the chat.
Oh um Adrian um hello sir. Um the circle so for the uh for the checklist on the camban on the job card it's just card layout and then you got your featured item down here. So many will have the theme. Um I I've always used staff names um personally when whenever I've done sort of uh quick tours of canban just so it's really really quick and easy to go oh Marcus is on that or ty you know or you know I I tend to have it on the staff responsible um but checklists uh and certainly for on boarding jobs um they're kind of awesome uh because obviously you want to see that will get greener and greener um and as a quick snapshot um with on boarding certainly it's you know that that's how you're going to track it. You're not going to dive into here and check, you know, 10 different phases. You want it as a snapshot at the top. Um so yeah, I would just have a um have a play with the with the checklist um sorry with the card layout agent. Uh and you'll be fine. Sarah, yes, you wanted payment status for ages. Um yeah, um it's been it's been on the list I think for a long long time. Um cuz I think lots of people would get around it by having a phase and then they would mark that phase as billing point. Um so hopefully you know it makes it makes things a little bit uh slicker. I was chatting to a chap called Lewis on Monday um about how he's had to re-engineer everything with phases. Now I get to call him um and say actually um yeah um you got a new status there now. Um so he's going to be one happy camper.

uh Nadine? Um I will have to take that one away. So I won't mark it as um responded to. I would take that one away because I'm not too sure how the mechanics and how the coding is um and how the coding is actually done. Uh Angela, when do the new status options go live? All of these I am assuming um because we're we're sort of demoing them today. They should be live within a week. Um I don't I can't I can't see there being any sort of um you know issues coming up in testing or anything like that. Um so fingers crossed it will be within a week. We'll obviously um we probably put an announcement on Facebook. Um I have asked um what what I would love to see um is release notes. You know, you know when you log in and we just release something new, it'd be great if it popped up. Um so you can see everything that's just gone live. Uh Miriam, what information syncs into engager when we link clients VAT and PA to HMRC? Very little. Um it's not um HMRC are a little bit notorious with their APIs. They don't give us a huge amount of information. So even the dates um we can't get into uh into engager. So when you got um say say you got your clients um and you you know you switch on VAT, you'd think it would look at HMRC. It doesn't. It can't do it. They don't give us this information over an API connection. So, what you're really connecting to, you're just connecting into the back of, you know, your gateway. So, if I go into uh HMRC here, all you're doing is plumbing in your settings uh for your letterbased and the uh the agent off and you're triggering um the uh agent off requests, letter based or MTD. It's not pulling down anything else. We would love it um to give us live liabilities, right? I think that's that's the dream for everybody is to have us constantly ping HMRC just to pull that down. That would be wonderful. Obviously clients can do it themselves, but you know um we'd love to be able to do that for everybody, but HMRC just don't give us huge amount on their APIs. Um and that's why I always say to people that are new to engager, you know, our system will lock you in with companies house, brilliant year end dates, fantastic cso dates, fantastic, but it's not looking at C600 due dates. It's not giving us reference codes coming back. Uh so Miriam, it's it's kind of sad that we don't get a huge amount uh of info coming back from the HMRC gateway. Um not ideal. U Sham, can I remove checklist to complete for certain clients? Um so checklists are switched on by default. So if you use a checklist uh and you apply it, so you can always turn it off um in your sort of global settings. So if you sort of duck into the back end here under the hood, switch it off for all or what you want to do if um I think I know what you mean. Then what you would do is you you do it at a client level. So say um say Sarah Jones here doesn't need a checklist or you don't need checklist for this particular one. You can switch them off I believe. So if I go into tailored checklists um can I Yeah, you can just switch it off there. So shams. Yeah, if you don't want to check this against that job and that client, switch it off in there. So come into the client name or the limited name work tailor checklist and flip it to none. We have three different offices. uh job status is mixed up and managers are not sure which office this relates to. Uh is this something you can help with to separate office jobs? Um you can filter by um by department AF tab. So um that's often the best way to do it. If you if you consider them to be a department um then you can sort of break it down a little bit easier. Um it's not an ideal answer. I I get it. Um but you want to see it sort of broken down um a little bit cleaner. I mean, are are the guys actually keeping this stuff up to date, AFAB, or or are they fairly sort of fast and loose with it?
Amanda, can you add a box somewhere for us to store our agents reference number? Uh, you could use the memos. Uh, although that's really client specific. What I'd maybe do then is if you're happy to do it, um, you could put it on like your dashboard screen. you could add a quick note uh store the information there if that works for you Amanda just pop it in there at least it's visible uh to people
still learning yeah afterab yeah I would play with the cam band settings so the one bit of advice I can give you is get them all to firstly find out if they're using this awful view um if they're using this view the list view um then you're going to struggle Um, so if I could you put that to say just 30 days, there's less less mess on there. Um, what I would do is make sure that they're all using canban. So as soon as they start to use canban, what you'll find is you've got the filtering. So if you look over here, there is no filtering. Um, so as soon as I switch it to canban, then it's a case of I can play with, you know, what um, what team members on what job. I can break it down into management. I can break it down into director level and I can break it down into department. So if you say you got three offices, I'd probably um you put them as departments. So I think you can do that in uh staff settings. So if you go into the system um sorry settings staff system users, you should be able to create them as a department. So go through those teams, pop them all in the relevant uh department. So you can pop it in there. Uh and then they'll be able to break it down. So you got the three offices and I would have like office one, two and three but as three separate um three separate departments. I think that's going to be the easiest way to do it after. Um but again like like you say you're new to it. It's just um yeah it's it's just learning a new system is it just getting used to it. Uh Jennifer may be time to make cam the default view for all new subscriptions. Yeah, I'd love that. Um, I I speak to people all the time. Um, you know, and I I spoke to somebody recently. I think they've been with us just over a year. They'd never seen Canban. Uh, and and it boggled me. Uh, because I was like, "Every video we've ever done, every help center article always focuses on Canban." Um, and they they they were in love. Um, like straight off the bat, completely in love with it. Um, Jane, it is done in Iris. it pulls the VAT amount and the date is and the date is filed. Let me make a note of that uh because I am unaware and I was always told that this extra info is not available uh on the API. So I'll do a little bit of digging uh for you on that one J. Um because if it's there kind of want it, right? Uh let me make a note of that. So I'll I'll take a look into that one. Okay.
And Nadine, I said I'll take yours your one away as well. Shames, can I remove checklist to complete for certain clients? Yep, we've done that one. Uh, looking to improve my engage setup. What is the best way to add MTD? Uh, I have also heard that you can add something relating to payment on account to set up as a reminder. Um, so yeah, so you should have the service in the system. So I think if you're a relatively new adopter um of engaging you should have a service available. So you got jobs and services uh have a good look for MTD um make sure it is there. See I've got a quartly filer u for soul trade and UK property. Then it would be a case of and if you're thinking the system is going to automatic do do it for you. It won't. You need to turn these things on. So when you're adding a new client you'll go through this section here. you know, you'll just make sure that you're ticking on the right jobs. Um, so there and there. Once you've done that, you then need to tell the system. So, switching on will do only so much. If um one if you take anything away from today, um if you don't put a date in it, no job cards will will populate. They don't exist. And unless you know, you actually say switch it on step four and then pop a date in it. Uh it just doesn't do it. It will just it'll just drift. Um, so it's always always a bit of a nightmare um if you don't put dates on it. Um, again, you would just need to tell the system when it's next due and then it will cycle every 3 months. Weirdly, we don't have a quarter end period here. Um, so I might take that one away as well because I did find it a little bit strange because obviously got we got the VAT, you know, where's my VAT client? You got VAT and that's got the quarter ends there, isn't it? So, I did find that a little bit strange. So, if I quickly switch this on just to show you. Uh, where is it? Where's my VAT gone? There we go. Yeah, it's got that extra option. So, maybe it was because, you know, when it rolled out, everyone had the same due date and it's just going to cycle. Maybe that's why we didn't build it. Um, but it just feels a little bit little bit clunker to me. Uh, so I might have a look at that one as well. Uh, but yeah, you'd expect to see, you know, the quarter ending for MTD as well. Uh for those of you guys that um if you ever worry that you haven't popped a date on um the system keeps track of it. So don't worry. Um just get comfortable using the dashboard widgets. Um I think there's a lot of good stuff in the dashboard widgets. Um but I do worry that some people ignore them. Um or because they're so used to going into jobs and you know running their canban views and then filtering and then saving their views. I think some people sort of miss a few of the um the widgets that we got here. So, one of the most important ones certainly for those of you that are starting out, one thing I definitely would say is just keep an eye on services without essential info. Obviously, we're really naughty boys and we haven't updated ours. Um but it's this one 149 services have no due date. So, that's 149 services in this account that has no canban. you know, that's that's a huge risk. Um, so I always say this to people certainly when they're, you know, sort of having a chat, getting them on board, getting excited about engager, keep an eye on that. Make sure you're always adding in dates. So, switch it on. Step four, add the dates. Step five, uh, and then you'll be fine. Uh, I also say to people, as a bit of a tip, um, and you guys are probably old hat with this anyway, but, uh, for those of you that are new, I always jig rejig the order, uh, of these jobs here. Um, so you want your heavy hitters at the top, like you know, year-end accounts, on boarding because you on board everybody, self assessments, MTD, VAT, and you probably want confirmation statements there as well. So, if I wanted to move this stuff around, I could just grab the six dots, move them up. Um, the really good thing about this, and I know it sounds a little bit OCD, is that then impacts the ordering here. So, if I quickly flip that to job type, pop that on to say 300, something ridiculous. U, you can see annual accounts, onboarding, self assessment, self-employed, it follows suit. Um, when I first started gauge it, it used to drive me nuts. Um, the ordering of it and then I realized that you could actually just drag and drop the ordering. And then also when you add new client, which to do if I add the new client, when you're adding services, it used to drive me mad trying to find them. So again, this follows suit now. Um, it follows suit uh to to mirror the the the settings in here as well. Um, was that there earlier? Round each service. Maybe I missed that. Uh, maybe I missed that. But yeah, you would now click that button to to round up to the nearest integer. Um quick look at the Q&A two seconds.
Uh and also for you guys that you know um you trigger um sorry to go back on that one but if you guys are used to doing this so if you go back into settings job services settings um and then say you're doing your year-end accounts what you can do is you can force you know once you mark this uh section as completed it'll update the status. So you can now sort of go back through um your previous phases and you know update these as well. So send for approval. You know I might just um I might want to do that as well. So it now goes to awaiting signature. So you might just want to have a quick run back through those all your phases. Do I need to change these um like status updates as well? And probably trim down the number of phases you've got there as well. Uh just because you've got those there in the system. Quick look at Q and A.
Jane, can it not update the awaiting signature when we send out documents to sign? Um, I'm not too sure yet, Jane. Um, that would be lovely, you know, wouldn't it? Um, it really, really would. Um, so syncing job cards to say um to emails and stuff like that. Um, I I've got a feeling it's on the list. Um, I also need to sort of understand what we're doing with tax calc as well. You know, if it's sent through, you know, if it's sent through e-signing, is that going to push through into engager? You know, is is it going to do it there? Um, I I think that's, you know, I think we're getting there. You know, we'll obviously build it in in stages. So, we got the status uh and then we'll probably think, well, what are the connecting dots there, you know, because it would make sense that, you know, if you use their e-signing tool, you know, it will update engager. It should be talking. Um, but I've got a feeling that that's uh, you know, that'll be sort of next uh, Jane to sort of get that stuff up and running. Um,
if we don't have those options, how do we get them, Jane? Sorry. Was that in relation to the signing requests?
Uh, oh, and the the payment on the cam, right? So, uh, Louisa, are you with um, Tax C? Because what you what you need to do is when you're with tax calc um anything that's been posted for you know CT600 self assessments um we're looking at those liabilities and we're we're drawing those uh into engager um so if I quickly click on Yan's account uh I click tax references uh do and then you can see here tax data from tax calc um so that's pulling it directly from tax calc really really useful really snazzy um And it just means that what you can do is, you know, first of first of July, you know, first of Jan, you could do like a bulk email, you know, you could select um firstly wh it down to your self assessment clients. So you could do that there. You could go down into do services, enable services, switch on the self assessment, and then I capture just my self- assessments, select all. I could do a big mass mail out. They're all they're not copied in. They're not blind copied. There's nothing uh you know nothing crazy there. I could just do it on the first of the month saying you know if you filed it these are your liabilities make sure you get them paid. Uh certainly for the the July payment account and if I come down here I've got my self assessment data. So I can start building you know my email adding my placeholders on. So it looks at that data for you. Um really really useful going to be a bit of a game changer for a lot of people I think. Um but it will start bringing that into engager. Um, what I do want to get, um, uh, and flag to the, uh, the developers is you might want to click more than one at once. Um, you can't do that yet. So, if I click this, oh, I can't go back into it. I have to go back through. I have to go in here and then I have to click the next one. So, I'm going to get that raised as well because that would be a lawful that would be a nice touch uh to be able to do multiple um multiple placeholders in one. Um, or you could automate it. So that would be a way of doing it in bulk, you know, um 1 of July, get everyone down, make sure you issue, um a reminder to your clients. Brilliant. You can fire that out the door. Um you could look to automate it with the global auto reminders. So you got jobs, services to quickly find a self assessment, self assessment, and then you could do it in here as well. Now, so you build your template with all of those placeholders. Uh, and then you would just make sure that you'd have this like a like an additional trigger. Uh, you could get that to go. Well, let's have a quick look. So, if I was saying it's going to be due there, you'd want it to go maybe on the first of July. So, you could just get that system to do it. Uh, only send uh only send that automated email uh for all everything that just says so job status is sorry not is not is filed. So, that will just pick it all up and that will send an automated email to your clients uh with all their UTR numbers, you know, a link to government gateway, um the payment account amount, um all of that stuff. So, once you built your template, yeah, you could trigger it, send to all that, um that that are marked as filed. Brilliant. Uh and then it will go on the first of July. That's how you know you could handle it. Or you go the like the the low fire way, which what I mentioned there, where you can just do clients segment down to self assessments and then bulk do it. So, you got a couple of options there. Really have a look at the Q&A. Let's have a look.
Oh, Chris, sorting services is clunky. Is there going to be an easier sort in the future? I'm not sure. Uh, to be honest, buddy, I know that they are. Um, we we've got another team of people that are looking at the UI. I have not seen any mock-ups. I don't know what's um what's been factored in to the build. Um but anything sort of my understanding was anything that's a bit clunky they're sort of looking at. Um I don't know if it's just going to be new color schemes. I'm not too sure Chris. Um I'll take that one away mate. Um I'll have a look into that because I I do get you. Um but I haven't heard anything concrete. Can you run through how to check tax count to see if self assessment has filed? Um, I can't do that from from this demo account, I'm afraid. Um, agent, um, I don't have a tax account, um, sort of backup account. Uh, so I can't can't I can't really demo that. Um, what I can do is probably get one of the um one of the support team to give to give you a nudge though. Um, so I will take that one away. Agri could we add another job status to capture that it's now ready to invoice. We have so many extra setups to say now we need an invoice but we can't filter for that stages at the minute. Uh Kevin um I'm not too sure um all of this stuff all of the questions would always get fed back anyway. Um, so it's one of those that it's taken um it's taken us this long to to add three new ones. Um, whether that means we can add new ones quickly, I don't know. Um, but I've got a feeling that the team sort of sat down, they thought about all the ones that are needed, I don't think it was on the sleek plan. So, if it's not on sleek plan, um, you know, and we haven't actively gone out to to get the feedback, then I don't I'm not sure if they can build it quickly for you. Um, so you were saying that you wanted uh to capture that it's now ready to be invoiced rather than the new your new option there. So awaiting payment, would you not just have it as a phase though, Catherine? Um because if I'm if I'm looking at a job card, I can see that it says filing. I can see it's preparation. I can see the phase that it's on. Um, someone could see that, someone could pick it up. Um, yeah. Um, I'm not too sure. Um, maybe I'll have a think about that one, Catherine. Um, but I don't think we're about to build much more many more staces just because, um, when you start to look at engager, you know, and you look at all all of this, if I had every single one sort of switched on, it's then going to, you know, from a user experience point of view, it's then going to get really, really unruly. Um, so that's awaiting signature. So if I pop them all on to filed and ready to file. Is that all of them now? Awaiting payment filed query sent. You're now having to zoom out that much. Um, unless unless you're happy scrolling along. So I don't know whether or not they're going to start adding custom or adding additional ones there. I'm very careful. Um, let's have Q and A.
Uh where would I add the PO a amount so it's picked up on the placeholder? So yeah um you uh you just said that you do um you do all of that in in free agent. So that doesn't exist in engage it until until you put it through and manually add it. If it's if you use tax calc it will pull through automatically. Um what you would have to do instead is you build uh custom fields. Louisa. So if you go into the settings, you've got custom fields. You would build a quick section in here called tax liabilities. So if I quickly create one at the bottom, new section, tax liabilities
to do, can't spell today. Um, and then what you would do not servicing the price, you'd have it in general info. Hit save and then you'd start building, you know, POA July. You get you get the idea of it. And then I'd always do um probably single line text because I've got a feeling there's there might be a rounding issue with the decimals. So if you did single line text once that's built on every one of your clients, you'd then be able to store a that specific amount. So if I went back into here into this one here, if I go into client info, general info, right at the bottom, you should have the tax liability. So you can start to record, you know, your various other bits of tax liabilities there. They are then available as a placeholder. Uh so you can use those in your emails as well. Uh Lo not ideal um because we can't pull that information through from free agent. Uh tax calc we can. So for now it will be manual. But you create yourself a custom field um and then you start storing all your tax liabilities manually against that client record.
Oh, Sarah, is there a way to pick up clients who manually have a payment account as not all do? Um, ideally, I wouldn't want to send those who haven't. Oh, that is a good shout, isn't it? Um, yeah, because otherwise they'll just get any message, you have zero to pay, which is nice. Um, don't don't get me wrong. Um, but is there a way to weedle it out? I will have to take that one away, Sarah. Um I I don't think there is um or not to my knowledge anyway. So let me check with tax about that because that would be quite nice, wouldn't it? No POA. Katherine, can we use a waiting payment as the filter? Uh when you use it as a phase, she can't filter for it is all. Okay. Okay. Yeah. Uh, when a client sign an engagement letter, is there a way that we get notified in our Outlook and also how to make how to make automation workflows? Uh, so Mega, so the notification system is it's a bit of a um some people love it, I love it, some people don't like it because it's not an email. Um, we're all, you know, we're all sort of stuck in our inbox all day every day with client stuff. Um, you're also getting emails from Zero. Um, QuickBooks, all of your add-ons are pinging you alert after alert. I, we use HubSpot and I probably get 25 30 emails from the HubSpot every day that I've got to filter them to turn them off. So, we wanted the notification system to be this this is important. You know, it's not just another email that, you know, that gets lost. Um, I'm beating around the bushes here really because we will build it eventually. we will build you something that says here's my notification center. You know, you I think eventually um as far as I understand anyway, um you got jobs and notifications. Every one of these we will be able to say do you want this as an email alert as well. Um what I would say Megan is if you're new to engager, it's just something to get get used to to get comfortable with. Um so if I if I show you my u my demo account um there should be loads of notifications. This is quite unruly. Um, so I I never recommend this list view at all. Uh, because it's too much. I always say dive straight down to the bottom. Show group summary. There you got your pertinent ones like your most important ones are there. You know, we've got letters of engagement assigned, you know, you it sort of separates them out into the pockets and type of notification. So rather than sort of sifting through it, you know, and you might miss, oh, brilliant, we just, you know, nailed a new client. Um, I would use this. I'll come into notifications and I'd use the show group summary. Um I just feel it's a little bit easier to manage that way. U rather than you know this this particular list. It can get a bit unruly. So yeah, if you've not seen this before, it's it's great. You know, show the group sum uh the group summary and you'll start to love it a bit more. Um Q and let's have a quick look.
Uh, is there going to be a mobile app version for agents so that we can check for notifications with away from desk? Amanda, yes. Um, I believe so, but it's it's not on the it's not on uh oh, it's not going to be developed for the next six months. Uh, as far as I know. Um, so I think I think we wanted a more mobile friendly version. Um, so maybe that's part of the UI build. Um, because yeah, you can't do certain things even if you got like a good chunky phone. um you can't click certain buttons or they just don't appear. Um which is uh which is which is a little bit difficult when you're on the go, right, Amanda? Um so so we do get it. We we are painfully aware that we need to build a mobile app. Um we need specific types of mobile developers. Uh I believe uh in in one of my old firms, we had to like get a whole team in just to build out the mobile. Um, so our developers are awesome, but I don't know if they're, you know, um, if we need like a new sub team um, to do that. Um, but it's it's it's definitely on the on the plan, Amanda. I would imagine, you know, at some point next year, we would have um like a mobile app for agents. Um, people want it. Um, Johan would probably want it himself, right? You know, he's out on the go all day every day. Um, but he does love his iMac, you know, he loves his MacBook Pro and stuff like that. So he he'll just fire that up. Um but yeah, we do understand the need for it. Um
Susan, if you enter an authorization code directly into HMRC, it sync with engage and switch to authorized rather than issued. Um yes, it should do. Um it's it's basically a live ping. Uh Susan, so when um so if I can find an example, it's always difficult with a demo account. Um but if I was in say Johan here got tax references say no just say uh you've got MTD here. So this section here oh move you over there uh gathering details this these steps here and also the letter based stuff as well. Um this is live um pinging HMRC's government gateway uh probably every few minutes. So this is always going to be um up to date. So, as soon as this sort of goes green, you can get the link in there and then once it's approved, it's approved, but it is it's pinging the um the government gateway 24/7 basically. So, you don't have to worry about it. Uh and I think you can still map it. Um I think you can still sort of uh keep an eye on it in your dashboard filters as well. Um so, you can have a quick look there. You got in progress as well. Uh you got authorized and rejected. So, you can kind of map it a little bit and sort of control it a bit more in the uh in the dashboard. Um hopefully that's useful. Uh if if if um if I know how the devs work when when it gets to this stage um and they've got their release notes, which obviously I've seen, um then my understanding is it will be next week. Uh if all goes well, uh which would be very nice. certainly those um certainly those statuses. Um there was one more thing um that that I forgot to show um and that is and this was partly requested. So I think we made a change to um the emails um being clickable um and then something changed and then people went mad at us because they could no longer copy um the email. So now you can right click and you can copy email. It might have been you Chris as well actually. Um certainly somebody on Facebook um they're up in arms that they couldn't they could no longer copy uh the email link. So just a quick comparison if I go into my clients uh I've got my emails there. Obviously mine is not an upto-date demo account. So got pam fake there's copy link address but that doesn't copy the email the demo account. I can just click this and copy email. So people really really wanted that. Um and I'm going to blame you Chris. Uh so you can now copy uh the email from there. So I think we we made a small change um and then yeah we sort of kind of corrected it a bit. So just to sort of recap um you got the portal files in client memos you know super handy for you know linking um in any sort of vital info disputes anything like that. Um big receipts whatever you need it to be really. Um so you can use that in in the memo system there. You got the new report in deals that will sort of break it down into closed, lost, closed one, break it down by team member, which is really, really cool. Uh, you got the rounding issue um that you can now sort of round up on your letters of engagement really, really quickly. You got the button at the top. Um, and you really I think the big ticket item here was the uh the statuses uh the stat eye. Uh so you've got your status buttons here. You've now got those three extra options. You've got review complete in a lovely teal color. Um, have we not got a bigger color palette? Because we got what, three greens and one teal. Surely we can come up with other colors. Uh, but I do like the teal. So, we got review uh review complete, awaiting signature uh and awaiting payment. So, they're the new uh big ticket items. I've got a feeling it'll be next week.
